A Legal Receptionist serves as the first point of contact for our clients, visitors, and callers at our law firm. This role provides administrative and customer service support while helping ensure the office operates efficiently and professionally. The Legal Receptionist maintains confidentiality, manages communications, and assists attorneys and staff with routine administrative tasks.
Basic Duties and Responsibilities, but not limited to.
1. Greet clients, visitors, and vendors in a professional and courteous manner.
2. Answer within 2 rings, screen, and direct incoming phone calls.
3. Schedule and confirm appointments, meetings, and consultations.
4. Maintain attorney and conference room calendars.
5. Receive, sort, and distribute incoming mail, filings and deliveries.
6. Prepare outgoing mail and courier packages.
7. Open and maintain client files, both electronic and physical.
8. Enter and update client information in the firm's database (MyCase).
9. Assist with document preparation, copying, scanning, and filing.
10. Monitor office and kitchen supplies and place orders as needed.
11. Maintain an organized and welcoming reception area.
12. Respond to general inquiries and provide basic information to clients.
13. Coordinate client intake forms and collect required documentation and payment.
14. Handle confidential information with discretion and professionalism.
15. Support attorneys and legal staff with administrative tasks as assigned.
16. Process payments and issue receipts when applicable.
17. Assist with data entry and recordkeeping.
18. Ensure compliance with office policies and procedures.
19. Stock kitchen and throw thrash every Wednesday or as needed.
Qualifications
-High school diploma or equivalent preferred, but not required.
-Previous receptionist, administrative assistant, or customer service experience preferred but not required.
-Strong verbal and written communication skills.
-Proficiency with Microsoft Office, Outlook, Excel, MyCase, Adobe, and standard office equipment.
-Excellent organizational and multitasking abilities.
-Professional appearance and demeanor.
-Ability to maintain confidentiality and handle sensitive information.
-Strong attention to detail and accuracy.
Work Environment
This position is typically performed in a professional office setting and requires regular interaction with clients, attorneys, court personnel, and other staff members. The ability to manage multiple tasks while maintaining a high level of professionalism is essential.
Reports To: Office Manager/Chief Criminal Paralegal, Senior Attorney, Chief Family Law Paralegal or Lead Legal Assistant.
Pay: $12.00 - $15.00 per hour
