Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle calendar management and scheduling for meetings, appointments, and events using tools like Google Workspace and Microsoft Office
- Perform data entry, filing, and maintain accurate records to ensure organizational efficiency
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Provide excellent customer service by addressing inquiries promptly and supporting client needs both in person and via phone or email
- Assist with office management tasks such as ordering supplies, organizing files, proofreading documents, and maintaining a tidy workspace
- Coordinate administrative projects including proofing correspondence, managing office emails, and supporting personal assistant duties as needed
Requirements
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask effectively in a busy setting
- Bilingual abilities are a plus to serve diverse client needs effectively
- Experience with front desk operations, multi-line phone systems, and customer support is highly desirable
- Knowledge of bookkeeping software such as QuickBooks or similar is preferred
- Demonstrated professionalism in phone etiquette and customer service interactions
- Prior experience as a medical receptionist or dental receptionist is advantageous but not required
- Personal assistant experience or office management background will be considered a strong asset
- HHA or CNA certification
