Position Summary:
The Psychiatric Administrative Assistant (PAA) plays a crucial role in ensuring the smooth functioning of the agency’s psychiatric practice. This position provides high-level administrative support primarily to the psychiatric providers as well as the team of therapists, and other mental health professionals while maintaining a welcoming, professional environment for clients. Responsibilities include scheduling, client communication, insurance coordination, documentation, and supporting clinical operations. The ideal candidate is detail-oriented, organized, calm, and able to handle sensitive information with discretion and empathy.
Schedule: Mon - Thurs: 9am - 1pm (in-person)
Main Responsibilities:
- Schedule new client intakes, medication management appointments, follow-ups, and rescheduling as needed.
- Act as a liaison between clients and psychiatric prescribers for non-clinical matters and treatment-related questions.
- Assist clients with completing intake paperwork and navigating telehealth platforms for virtual appointments.
- Contact clients for appointment reminders, follow-ups, and medication authorization updates.
Administrative Tasks and Team Support
- Maintain accurate and up-to-date client records in both paper and EHR (Electronic Health Record) systems.
- Assist with prior authorizations and communicate with insurance companies to confirm coverage and benefits.
- Monitor psychiatric schedules and manage provider inboxes as required.
- Coordinate with billing, office assistant and administrative staff to ensure smooth workflow and timely completion of tasks.

Qualifications:
● Valid Driver License.
● Conversational Spanish
● Proficiency with scheduling software, EHR systems, Microsoft Office Suite, and telehealth platforms preferred.
● Demonstrated history of contributing to a healthy and collaborative team culture.
● Ability to work in a multi-task environment and accept interruptions while performing duties.
● Excellent organizational skills and attention to detail.
● Excellent verbal and written communication skills.
● Strong analytical and problem-solving skills.
Education: Bachelor’s degree minimum
