Church Office & Property Administrator
JOB DESCRIPTION
The job as a Church Office & Property Administrator is a cooperative position that requires the ability to work with people from diverse backgrounds who are passing on rich traditions, creating community in the city and working together in a venerable but fragile 90-year-old building.
Property Maintenance Responsibilities Include:
- Oversee the daily operations of the building (know who is on site, maintain safety & security, assist with logistics); You are the main point of contact for all building users. Maintain positive relations with and between building users.
- Check each room weekly and address maintenance needs according to established priorities generally accepted practices.
- Receive all maintenance requests from building users and respond to requests in a timely manner. Communicate with building users regularly regarding building maintenance issues.
- Manage rentals; Create and oversee annual lease agreement renewals, short term rental agreements, fees, event staffing, liability insurance, event set up, etc.
- Communicate with building users regularly regarding schedule.
- Keep track of and schedule inspections and regular maintenance (fire, HVAC, sump pump).
- Work with contractors and volunteers to address maintenance issues. Request quotes and recommend contractors for small projects such as room remodeling, electrical, plumbing, sewer, and HVAC improvements.
- Update the listing of volunteers, skills and contractors as needed.
- Maintain good relationships with parking partners and communicate parking issues and fee changes.
- Monitor parking lot, maintain illegally parked vehicle log, and give warnings and tow when needed.
- Keep track of and issue building keys as needed.
- Contact SJ city hall when city hall events create issues on church property.
Administrative Responsibilities Include:
- Use and maintain online calendars to ensure that required tasks are completed. Calendars include building use by tenants, building systems inspection and maintenance, church and tenant meetings, filing of government reports and forms to ensure compliance with laws.
- Maintain Sunday Worship support team schedule. Develop documents such as weekly bulletins and inserts. Create forms, policies, and procedures as needed
- Support minister with administrative duties.
- Answer phone calls, take messages and forward as needed;
- Open mail, check church emails and forward or respond as needed;
- Other general office work such as filing; updating electronic files, membership records and directory; creating name tags, making copies;
- Work cooperatively with bookkeeper, janitorial service, gardener, and other occasional maintenance contractors;
- Make purchases and turn in expense reports for reimbursement; may be allowed to use church debit card;
- Use employee’s vehicle, or coordinate errands with other employee or volunteers to replenish office, kitchen, and janitorial supplies and materials; employer reimburses at government mileage rate.
- Update bulletin board as needed
Qualifications:
- Ability to prioritize building needs and to provide time and cost estimates for completion of tasks;
- Ability to lift 20 lbs.
- Ability to problem solve and follow procedures relating to building security;
- Working knowledge of Microsoft Word and Excel and Google Drive to create, revise and print documents:
- Reliability to do unsupervised work to the highest standards.
- Experience in and appreciation of a multi-cultural work place
- Trustworthiness to respect and protect the sensitivity & confidentiality of personnel and financial documents;
- A mindset of community service.
Building Users:
- First Christian Church dba Urban Sanctuary: building owner, Sunday mornings, occasional evenings (7 hours/week)
- Recovery Café: Main building user: Café program Monday through Friday and one Saturday per month.
- Center for Arts, Spirituality, and Activism: occasional events
- Showing Up for Justice (SURJ): 2 to 3 meetings per month
- NGC (Nueva Generación en Cristo): Spanish speaking congregation, Sunday afternoons & some week nights
- 12-Step Program: once per week
