Summary
As an Office Coordinator at Forever Builders Inc., you will play a pivotal role in ensuring the smooth operation of our office environment. This position is essential for maintaining our commitment to high-quality service and customer satisfaction, allowing us to focus on transforming homes into cherished spaces.
Key Responsibilities
Client & Sales Support
- Serve as the primary point of contact for all new leads via phone, text, and email
- Create a strong first impression and help get clients excited about starting their remodeling project
- Follow up with leads consistently and track lead status for maximum conversion
- Schedule consultations and meetings between clients and project managers
- Send contracts to clients and assist with administrative aspects of the sales process
Project & Construction Coordination
- Work closely with project managers to track leads, meetings, and project updates
- Schedule city inspections and submit permit requests
- Assist with permitting and licensing requirements for projects
- Maintain basic knowledge of construction processes to assist clients with starting questions
Office & Business Operations
- Handle general office administration and daily business operations
- Maintain business licenses and assist with permitting documentation
- Organize office systems and manage supply ordering
- Maintain the office environment, including the conference room and coffee bar
- Provide administrative support to staff and visitors
Qualifications
- Strong phone communication skills required; sales experience is highly preferred
- Experience in the construction or home remodeling industry is a plus
- Knowledge of California home remodeling procedures preferred
- Proficiency in Microsoft Office (Excel, Outlook) and Google Workspace
- Experience using office equipment
- Excellent time management and organizational skills
- Ability to multitask, prioritize, and follow up consistently
- Strong written and verbal communication skills
- Detail-oriented with problem-solving abilities
- Organizational and planning skills in a fast-paced environment.

Experience:
- Administrative: 2 years (Required)
- Construction: 1 year (Preferred)
