The Role at a Glance
We are seeking a highly organized, tech-savvy, and proactive Executive Sales Administrator. This hybrid role bridges the gap between high-level executive support, meticulous sales operations, and global logistics coordination.
The ideal candidate is a master multitasker who can comfortably shift priorities on a dime, keep our CEO structured and on schedule, and confidently navigate online portals, contracts, and supplier databases.
Key Responsibilities:
Executive Support & CEO Partnership
- Strategic Partner: Act as a strategic partner and gatekeeper to the CEO, managing his daily schedule, anticipating needs, and ensuring key priorities are met.
- Calendar & Travel Management: Coordinate complex calendars, schedule high-priority meetings, and arrange domestic and international travel logistics.
- Meeting Preparation: Draft polished presentations, executive correspondence, agendas, and reports for key client meetings.
Sales Support & Data Administration
- Vendor & Supplier Management: Take ownership of updating and maintaining accurate vendor/supplier information across all systems.
- Contract Administration: Review, update, track, and organize customer, supplier, and vendor contracts.
- Portal Mastery: Confidently navigate and manage various customer/online portals and internal CRM systems to ensure seamless data flow.
- Pipeline Tracking: Keep CRM records meticulously up to date, monitoring sales pipelines and outstanding follow-up actions.
International Sales & Logistics Coordination
- Global Liaison: Support relationships with international customers, partners, and overseas distributors across different time zones.
- Logistics Coordination: Partner with freight forwarders, customs brokers, and logistics providers to coordinate export documentation and shipping schedules.
- Order Tracking: Monitor international shipments from initial quote to final delivery, ensuring a seamless customer experience.
What We’re Looking For (Qualifications)
- Experience: 3+ years of experience in a fast-paced Administrative, Sales Support, or Executive Assistant role.
- Sales-Support Background: Direct, proven experience supporting sales teams, updating vendor/supplier profiles, and handling business contracts.
- Exceptional Tech Skills: Advanced proficiency in MS Office (particularly Excel and Word) and a natural comfort learning new software, CRM systems, and client portals.
- Agility: A proven ability to juggle multiple tasks, quickly switch priorities as urgent needs arise, and maintain composure under pressure.
- Logistics Exposure (Plus): Experience with international business operations, shipping, or export documentation is a major plus, though not required.
- Confidentiality: Absolute professionalism when handling sensitive and confidential company and executive information.
