Our PWM business has a team of recruiters responsible for sourcing, attracting, and hiring top talent. This role follows a hybrid schedule, with four days in the office and one day working from home.
The PWM Recruiting Coordinator is a key member on our team and will provide proactive administrative, transactional and coordination support on the full-life cycle recruiting process. With keen attention to detail and a positive approach, this individual will help make our recruiting function run seamlessly and successfully. This role collaborates directly with the PWM Talent team and other partners.
As a PWM Recruiting Coordinator, you will:

Facilitate interview scheduling process including contacting candidates via phone and email for availability, coordinating calendars with interviewers and applicant, and sending confirmation emails and meeting requests to participants.

Performs high-volume calendar management including complex interview schedules for recruiters including video, phone, and onsite interviews.

Collaborates with recruiters in driving process improvement efforts and making strategic recommendations.

Monitors the PWM recruiting email inboxes and phone messages to ensure timely responses to inquiries.

Proofs offer letters for consistency and accuracy.

Draft offer letters as needed.

Continually seeks opportunities to increase client and candidate satisfaction and deepen these relationships.

Organizes and updates Microsoft Teams and OneNote with recruiting documents and information.

Facilitates the interview, offer letter and onboarding process for the Financial Advisor Training Program (FATP).

Assists with pulling data and generating reports via Workday.

Supports both internal and external stakeholders by proactively solving problems that arise throughout the interview process (i.e., technical difficulties, last minutes changes, etc.)

Assists in posting positions via our Workday applicant tracking system and job boards.

Supports our D&I council with administrative duties including scheduling meetings and sending follow-up communications.

Assists in the coordination of other recruiting activities including administrative duties as needed.

What we look for:

Minimum of one year of talent acquisition experience.

Experience with an Applicant Tracking System, preferably Workday is a plus.

Strong organizational skills and ability to prioritize daily workflow to effectively organize tasks to achieve specific goals.

Familiarity with Power BI, including creating dashboards and reports, preferred.
