Position Summary
New Wave Med Spa is seeking an experienced, results-driven Spa Operations Manager to oversee the day-to-day operations of our growing medical spa. This leadership role is responsible for ensuring exceptional client experiences, operational efficiency, team performance, revenue growth, and overall business success.
The ideal candidate is a hands-on leader with experience managing medical spa, wellness, aesthetic, beauty, or healthcare operations. This individual will be responsible for coordinating staff, managing schedules, monitoring financial performance, overseeing inventory and purchasing, implementing marketing initiatives, and ensuring the highest standards of client care and compliance.
Key ResponsibilitiesOperations Management
- Oversee all daily spa operations, ensuring smooth and efficient service delivery.
- Manage front desk, scheduling, client flow, treatment rooms, and overall facility operations.
- Develop and maintain operational procedures, policies, and best practices.
- Ensure cleanliness, organization, maintenance, and readiness of all treatment areas and equipment.
- Monitor appointment utilization, provider productivity, and overall operational efficiency.
- Implement systems to improve workflow, client retention, and profitability.
Financial & Business Performance
- Monitor daily, weekly, and monthly revenue performance.
- Track key performance indicators (KPIs), including retail sales, treatment sales, memberships, rebooking rates, and client retention.
- Manage payroll, labor costs, operating expenses, and departmental budgets.
- Review financial reports and identify opportunities to improve profitability.
- Assist ownership with forecasting, business planning, and growth initiatives.
Inventory & Vendor Management
- Manage inventory levels for injectables, skincare products, treatment supplies, retail products, and office materials.
- Establish purchasing controls and inventory tracking procedures.
- Coordinate with vendors and suppliers to ensure product availability and cost efficiency.
- Research and recommend new products, services, and technologies to maintain a competitive market position.
Team Leadership & Human Resources
- Recruit, interview, onboard, train, and develop spa staff.
- Lead and motivate aestheticians, front desk personnel, wellness providers, and support staff.
- Conduct performance evaluations and provide ongoing coaching and development.
- Foster a positive, collaborative, and accountable workplace culture.
- Maintain staffing schedules and ensure appropriate coverage during business hours.
Client Experience & Service Excellence
- Ensure every client receives an exceptional and personalized experience.
- Resolve client concerns professionally and promptly.
- Monitor client feedback, online reviews, and satisfaction metrics.
- Develop initiatives to increase client retention, referrals, and membership growth.
- Uphold the highest standards of professionalism, confidentiality, and customer service.
Marketing & Growth Support
- Collaborate with ownership and marketing partners on promotions, events, social media campaigns, and membership programs.
- Assist in the execution of seasonal promotions and special events.
- Identify opportunities to increase revenue through new services, packages, memberships, and retail offerings.
- Support community outreach and local business development initiatives.
Compliance & Risk Management
- Ensure compliance with all applicable state regulations, licensing requirements, and company policies.
- Maintain accurate operational records and documentation.
- Promote a safe environment for clients and staff.

QualificationsRequired
- 3+ years of management experience in a medical spa, wellness center, aesthetic practice, healthcare office, luxury spa, or related environment.
- Strong leadership, organizational, and problem-solving skills.
- Experience managing budgets, payroll, scheduling, inventory, and operational performance.
- Strong customer service and client relationship management skills.
- Proficiency with scheduling, CRM, POS, and practice management systems.
Preferred
- Bachelor's degree in Business Administration, Healthcare Management, Hospitality Management, Marketing, or related field.
- Experience with medical aesthetics, injectables, laser treatments, or wellness services.
- Experience managing memberships and recurring revenue programs.
- Knowledge of social media marketing and client acquisition strategies.
