Orthodontic Office ManagerJob Summary
We are seeking a dynamic and experienced Orthodontic Office Manager to oversee the daily operations of our orthodontic practice and ensure an exceptional patient experience. The ideal candidate is a strong leader who is passionate about patient care, team development, and operational excellence. This role is responsible for managing office staff, improving workflow efficiency, supporting practice growth, and ensuring the office meets both clinical and financial goals.
Responsibilities
- Oversee the day-to-day operations of the orthodontic office to ensure efficient workflow and exceptional patient care.
- Lead, coach, and develop front desk, treatment coordinator, and clinical team members.
- Create staff schedules and manage daily staffing needs.
- Monitor key performance indicators (KPIs), including production, collections, case acceptance, and scheduling efficiency.
- Ensure an outstanding patient experience from check-in through treatment completion.
- Support treatment acceptance by working closely with doctors and treatment coordinators.
- Manage office inventory and coordinate ordering of clinical and office supplies.
- Partner with vendors to maintain adequate supplies and equipment while controlling costs.
- Ensure compliance with OSHA, HIPAA, infection control, and company policies and procedures.
- Conduct regular team meetings, performance evaluations, and coaching sessions.
- Assist with onboarding and training new employees while fostering a positive, team-oriented culture.
- Resolve patient concerns professionally and promptly.
- Collaborate with regional leadership to achieve office goals and implement company initiatives.
Qualifications
- Previous experience as an Orthodontic Office Manager, Dental Office Manager, or in a leadership role within a dental or orthodontic practice preferred.
- Strong leadership, organizational, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Experience managing schedules, staffing, and daily office operations.
- Ability to motivate and develop a high-performing team.
- Proficiency with dental practice management software (e.g., Dolphin, Ortho2, Open Dental, or similar) is preferred.
- Knowledge of orthodontic insurance, treatment coordination, and financial arrangements is a plus.
- Familiarity with OSHA, HIPAA, and infection control standards.
- Ability to multitask and thrive in a fast-paced environment.
- High level of professionalism, accountability, and patient-centered service.
