1.) Leasing:
Ensure outstanding customer service to encourage prospective tenants to rent. Successful marketing of the property and vacant units utilizing creative marketing strategies through various media sources. Greeting all walk ins and answering all calls, documenting source of advertising. Schedule appointments, property and unit tours, follow up with prospective tenants via phone calls, email, text messages, and interest letters. Conduct semi-annual market surveys. Conduct all application processes including approvals, denials, all verifications of required background and make recommendations regarding applicants’ suitability. Conduct all new move in process including, resident file and folder including all lease, addendums and verify suite preparations, schedule move ins, coordinate maintenance and keys are complete prior to move in. Conduct a final walk through with tenant and complete a move-in form.
2.) Resident Retention/Renewals:
Provide outstanding customer service to ensure current residents are pleased with their rental experience. Complete work orders and ensure the work order process is complete within 48 hours of first work order request. Ensure resident satisfaction with work order process. Act as resident liaison for maintenance and non-maintenance related issues. Identify upcoming lease renewals and communicate with resident regarding renewal including suite inspection, resident transfers. Property Manager plans and organizes events, contacts residents throughout residency to ensure satisfaction.
3.) Collections:
Verify accuracy of resident ledger or balance, apply correct charges (i.e. late fees, NSF fee) and collect and process all monies in a timely manner.
4.) Reporting:
Complete daily, weekly and monthly reports, including but not limited to: vacancy reports, Billing Registry, traffic reports, upcoming/current lease renewals, work order reports.
5.) Office Management/Other:
Maintain the appearance, functionality and atmosphere of the properties as well as the office. Maintain current files for all past and present tenants, including all lease documents and addenda and denied applicants. Maintain office equipment and supplies.
6.) Additional Responsibilities :
- Successful marketing of vacant units and renewal of occupied units.
- Conduct Market Surveys to analyze competitors
- Track all prospect traffic, vacant units and move outs and evictions.
- Property tours to prospective residents demonstrating the properties amenities.
- Follow-up correspondence with potential residents, residents who have work orders or are up for renewal until the lease is closed.
- Conduct back ground checks including credit, income, and residency verification on prospective residents while maintaining complete confidentiality.
- Draft leases, prepare resident welcome package and file for new residents as well as maintaining current resident files.
- Walk and inspect vacant units, common areas and grounds reporting any items in need of repair.
- Schedule move-in/outs keys, phones, papers and files
- Provide customer service to current residents
- Plan and coordinate events to promote resident retention
- Process maintenance work orders; follow up to ensure completed and resident satisfaction.
- Maintain control in emergencies.
- Maintain professional atmosphere.
- General Administrative duties (i.e. filing, answering phones, mail, email, rent collections)
- Attend and participate in staff meetings and seminars.
- Ability to efficiently multi-task and prioritize various activities.
- Other responsibilities as assigned by the Property Manager
Requirements
- High School Diploma.
- Minimum of one year experience in property management, retail service or sales.
- Appfolio program knowledge a plus.
- Must possess the ability to adapt to a fast paced environment and manage multiple projects effectively.
- Must be able to pass a drug test and criminal history background check prior to employment., and possess a valid state driver’s license and insured vehicle.
Summary
As a Leasing Consultant/Manager, you will oversee leasing operations and contribute to the overall success of the property management team. You will manage LIHTC and fair housing-compliant leasing processes, conduct property showings, and maintain strong relationships with residents and applicants. Reporting to the property management leadership, you will apply your customer service expertise, lease administration skills, and knowledge of property management tools to improve occupancy, retention, and revenue while ensuring compliant, efficient operations. Your blend of premium and relevant skills will support smooth day-to-day property management and superior resident experiences.
