Position Summary
The IT Procurement Associate is responsible for sourcing, purchasing, receiving, and managing hardware, software, cloud services, and telecommunications solutions for both managed services and project-based clients. This role ensures cost-effective procurement, accurate asset tracking, timely order fulfillment, and compliance with client requirements, company standards, and service level agreements (SLAs).
The ideal candidate is highly organized, process-driven, and experienced in working with technology vendors, distributors, and PSA platforms within an MSP environment.
Key Responsibilities
Procurement & Purchasing
- Source and procure hardware, software, cloud subscriptions, licensing, telecommunications services, and other IT-related products.
- Generate and manage quotes, sales orders, purchase orders, invoices, renewals, and related procurement documentation.
- Process purchase orders accurately and efficiently.
- Coordinate product availability, lead times, shipping schedules, and delivery timelines.
- Provide procurement timelines and alternative solutions when items are backordered or unavailable.
Vendor & Contract Management
- Build and maintain relationships with vendors, distributors, and manufacturer partners.
- Manage software licensing, subscription renewals, maintenance agreements, and warranty programs.
- Ensure compliance with licensing agreements and client contractual obligations.
- Stay informed on vendor programs, incentives, certifications, and partner requirements.
- Coordinate renewal schedules to prevent service interruptions.
Order Fulfillment & Logistics
- Track orders from placement through delivery and ensure timely fulfillment.
- Coordinate equipment deployments for client projects and service requests.
- Accept and inspect incoming shipments to verify quantities, quality, condition, and accuracy against purchase orders.
- Resolve shipping discrepancies, invoicing issues, damaged shipments, and order-related concerns.
- Prepare shipments for client deployments, returns, warranty replacements, and vendor exchanges.
Inventory & Asset Management
- Record detailed product information including part descriptions, model numbers, serial numbers, and warranty expiration dates within the company's PSA system.
- Track serialized assets and maintain accurate asset documentation.
- Label, organize, and store equipment for efficient access by service and project teams.
- Maintain accurate procurement, inventory, and vendor records.
Internal Collaboration & Coordination
- Work closely with Sales, Account Management, Service, and Engineering teams to support client needs.
- Coordinate equipment deployment schedules and related service tickets.
- Communicate order statuses, delays, and procurement updates to internal stakeholders.
- Support continuous improvement of procurement processes and operational efficiency.
Systems & Documentation
- Maintain procurement records, contracts, and vendor documentation.
- Ensure data accuracy within PSA, ERP, inventory management, and procurement systems.
- Generate reports and documentation related to purchasing activities, renewals, and asset tracking.
Required Qualifications
- Bachelor's degree in Business, Supply Chain Management, Information Technology, or a related field; equivalent work experience may be considered.
- 2-5 years of procurement, purchasing, or supply chain experience, preferably within an IT, technology, or MSP environment.
- Strong knowledge of IT hardware, software, cloud services, licensing, and telecommunications solutions.
- Experience working with distributors and vendors such as TD SYNNEX, D&H, Ingram Micro, Microsoft, Dell, HP, Cisco, Barracuda, Kaseya, and similar technology providers.
- Experience creating quotes, managing purchase orders, tracking contracts, and coordinating billing processes.
- Experience using Professional Services Automation (PSA) platforms to manage procurement workflows, purchasing activities, asset tracking, and service delivery coordination.
- Proficiency with PSA, ERP, or procurement platforms such as HaloPSA, ConnectWise Manage, Autotask, or similar systems.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication, problem-solving, and time-management skills.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
- Experience working in a Managed Services Provider (MSP) environment.
- Familiarity with inventory management and IT asset lifecycle processes.
- Understanding of software licensing models, cloud subscriptions, and vendor partner programs.
- Knowledge of Microsoft CSP, cybersecurity solutions, and managed services procurement.
