Position Summary
The Medical Records Caller is responsible for following up with medical providers to obtain medical records that have been requested for clients with upcoming Social Security Disability hearings. This role requires consistent outbound phone communication, strict attention to deadlines, accurate documentation, and professionalism when interacting with medical offices. The position plays a critical role in ensuring files are complete and ready for hearing.
Key Responsibilities
· Make scheduled outbound calls to medical providers to follow up on previously requested medical records
· Confirm receipt of medical record requests and determine record status
· Request estimated completion timelines and escalate urgent or overdue records as needed
· Re‑fax, resend, or clarify requests when required
· Document all contact attempts, responses, and updates accurately in the case management system
· Prioritize follow‑ups based on hearing dates and internal deadlines
· Communicate status updates to case managers or attorneys
· Maintain confidentiality and comply with HIPAA and firm policies at all times
· Build professional rapport with medical office staff while maintaining persistence
Qualifications
· Strong verbal communication and phone etiquette
· Excellent organizational skills and attention to detail
· Ability to follow schedules, workflows, and calling protocols
· Comfortable making frequent outbound calls
· Proficiency with basic computer systems (case management software, email, fax portals)
· Ability to work independently while collaborating with a team
Pay: From $15.00 per hour

Work Location: Hybrid remote in Terre Haute, IN
