The Program Operations Coordinator supports the programs department and designated teams by providing operational, administrative, logistical, and tactical support for public health programs and projects. Under the guidance of the direct supervisor, the Program Operations Coordinator supports field employee recruitment, onboarding, and management; procurement, travel, convenings and meeting logistics; resource and asset management; and review and reconciliation of program/project financial transactions.
This position serves as a central coordination point across teams, helping ensure effective communication, organized systems, timely follow-through, and consistent use of standard operating procedures. This role requires strong organizational skills, attention to detail, sound judgment, discretion, and the ability to manage multiple priorities in a dynamic environment. This role may support emergency response operations, including rapid mobilization of resources, coordination of field staff, and execution of time sensitive public health interventions during public health emergencies or urgent response efforts. The Program Operations Coordinator must be able to operate effectively in fast-paced, high-pressure environments with revolving priorities.
1. Support the operational efficiency and effectiveness of designated teams and related programs/projects.
2. Assist with day-to-day administrative, operational, logistical, and tactical support for assigned projects and departmental priorities.
3. Coordinate resource management, procurement, materials and equipment, travel, convenings, meetings, and other program/project operational functions, including rapid procurement and deployment of resources during emergency responses. .
4. Support emergency response activation, including rapid coordination of staffing, logistics, and operational needs. Maintain and update situational reports (SitReps), process documents, trackers, and dashboards to support real-time decision-making. Coordinate with internal teams and partners during response efforts, monitoring and escalating time-sensitive issues, risks and operational gaps during response activities.
5. Support recruitment, interview scheduling, hiring, onboarding, offboarding, and coordination of resources and training for field employees and program/project staff.
6. Reconcile program/project budgets and monitor financial transactions, including accounts payable and receivable, invoices, reimbursements, and other financial documentation in collaboration with Finance and program staff.
7. Coordinate and support systematic development, renewal, documentation, and closeout of agreements and contracts across programs/projects.
8. Maintain and audit databases, filing systems, trackers, dashboards, shared resources, and operational records to support monitoring, accountability, and decision-making, including real-time tracking systems during emergency operations.
9. Serve as a department-level resource for ERP and business systems, including tools related to accounting, procurement, travel, project management, relationship management, and reporting.
10. Coordinate and support development of reports, presentations, briefings, agendas, meeting materials, notes, action items, internal updates, and departmental communications.
11. Monitor deadlines, milestones, leadership priorities, decisions, and follow-up actions to support timely execution and progress against plans.
12. Identify opportunities to improve coordination, efficiency, standardization, and operational effectiveness; participate in and/or support special projects and other duties as assigned.
1. Bachelor’s degree from an accredited college or university with a minimum of five years of related professional experience; focus on business administration, public health, nonprofit management, or operations preferred.
2. Experience providing operational, administrative, logistical, or project coordination support for public health, global health, nonprofit, or mission-driven programs preferred.
3. Experience supporting public health or other emergency response or rapid deployment operations preferred.
4. Highly detail oriented, organized, and able to manage multiple priorities, deadlines, and competing demands. Demonstrated ability to work effectively under high-pressure, time-sensitive conditions with shifting priorities.
5. Strong technical skills, including word processing, spreadsheet development and management, database management, dashboards, and tracking systems.
6. Experience with ERP and business systems used for accounting, procurement, travel, project management, HR, or relationship management, such as Smartsheet, ADP, Concur, Salesforce, SharePoint, or similar platforms, preferred.
7. Excellent written and verbal communication skills, including drafting, editing, and reviewing documents, reports, presentations, and professional correspondence.
8. Skills in budget monitoring, reconciliation, organization, analysis, and creative problem solving.
9. Ability to solve problems in a timely and efficient manner using sound judgment and discretion.
10. Experience coordinating meetings, travel, logistics, procurement, agreements, contracts, onboarding, and administrative processes.
