Position Overview
Windward Management is seeking a detail-oriented and highly organized A/R Specialist / Bookkeeper to support the financial operations of seven affiliated business entities. This position is responsible for managing accounts receivable, maintaining accurate financial records, reconciling accounts, and ensuring the financial organization of multiple companies. The ideal candidate will have extensive QuickBooks experience, a strong understanding of medical practice accounting, and prior experience managing the books for multiple entities.
Key Responsibilities
- Manage the accounts receivable process for seven affiliated business entities.
- Prepare and issue invoices, post payments, and monitor outstanding balances.
- Perform collections and follow up on overdue accounts while maintaining professional customer relationships.
- Reconcile customer accounts and resolve billing discrepancies.
- Maintain accurate bookkeeping records utilizing QuickBooks.
- Record daily financial transactions and maintain the general ledger for multiple entities.
- Perform monthly bank, credit card, and account reconciliations.
- Assist with accounts payable processing as needed.
- Prepare monthly financial statements, A/R aging reports, and financial reports for management.
- Assist with month-end and year-end closing activities.
- Maintain organized financial records and supporting documentation across all affiliated companies.
- Coordinate with outside accountants during audits, tax preparation, and financial reviews.
- Support financial reporting and cash flow management.
- Ensure compliance with accounting standards and company financial policies.
- Recommend and implement process improvements to enhance accounting efficiency and accuracy.
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of 3-5 years of bookkeeping and accounts receivable experience.
- Required: Experience managing accounting functions for multiple business entities.
- Required: Advanced proficiency in QuickBooks.
- Required: Working knowledge of medical practice accounting, including physician practices, medical billing processes, and healthcare financial operations.
- Strong understanding of accounting principles, reconciliations, financial reporting, and general ledger maintenance.
- Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities while maintaining exceptional attention to detail.
- Strong communication skills with a high degree of professionalism and confidentiality.
