Position Summary
The Meetings & Events Manager serves as the primary point of contact for clients following the successful booking of meetings, events, and group functions at the hotel. This position is responsible for coordinating all event details, preparing Banquet Event Orders (BEOs), ensuring seamless communication between clients and hotel departments, and delivering exceptional service throughout the planning and execution process.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple events simultaneously while maintaining a strong focus on guest satisfaction, revenue generation, and operational excellence.
Essential Duties and Responsibilities
- Serve as the primary liaison for clients from the time an event is booked through its successful completion.
- Conduct planning meetings, site visits, and event reviews with clients to determine event requirements and expectations.
- Prepare, review, and distribute accurate and detailed Banquet Event Orders (BEOs) and related event documentation.
- Coordinate all meeting and event logistics with Food & Beverage, Culinary, Guest Services, Housekeeping, Engineering, and other hotel departments.
- Ensure all event details, room setups, audiovisual needs, menus, and special requests are communicated clearly and executed accurately.
- Maintain regular communication with clients and respond promptly to inquiries, requests, and changes.
- Monitor event timelines and proactively address potential challenges to ensure flawless execution.
- Participate in weekly BEO and operations meetings to review upcoming events and communicate client expectations.
- Identify and pursue opportunities to increase revenue through upselling of food and beverage packages, meeting enhancements, audiovisual services, and other event-related offerings.
- Achieve established booking and upselling goals while maintaining exceptional guest satisfaction.
- Conduct post-event follow-up with clients and address any concerns or opportunities for future business.
- Maintain accurate records, contracts, event files, and client correspondence.
- Support the sales team by providing event planning expertise and assisting with client retention efforts.
Qualifications
- Previous experience in hotel event planning, conference services, banquet management, or a related hospitality role preferred.
- Strong knowledge of banquet operations, meeting room setups, and food and beverage service.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
- Excellent verbal and written communication skills.
- Proven ability to build relationships and provide outstanding customer service.
- Ability to work independently while collaborating effectively with multiple departments.
- Proficiency in Microsoft Office and hotel sales and catering systems.
- Flexible schedule, including occasional evenings, weekends, and holidays as business demands require.
