Accounting & Financial Management
- Perform full charge bookkeeping duties including accounts payable, accounts receivable, and general ledger management.
- Reconcile bank accounts and credit card statements.
- Process weekly payroll for kitchen, service staff, and administrative employees.
- Prepare monthly financial statements and internal reports.
- Manage event billing and client invoicing.
- Track event deposits, balances, and payments.
- Monitor food costs, labor costs, and event profitability.
- Maintain vendor records and process vendor payments.
- Assist with annual budgeting and financial forecasting.
- Coordinate with external CPA for tax preparation and year-end reporting.
Catering & Event Accounting
- Track event costs and assist with post-event financial reconciliation.
- Monitor food, beverage, and rental costs associated with events.
- Manage vendor invoices including food suppliers, rentals, and event vendors.
- Maintain event billing schedules and ensure timely client invoicing.
- Support cost tracking related to large contracts and institutional accounts.
Office Management
- Oversee daily office operations and administrative systems.
- Manage office supplies, equipment, and vendor relationships.
- Maintain company contracts, licenses, insurance documents, and records.
- Assist with operational procedures and internal workflow improvements.
Human Resources Support
- Coordinate employee onboarding and offboarding.
- Maintain employee records and HR documentation.
- Manage payroll records, PTO tracking, and benefits administration.
- Assist with recruiting coordination and interview scheduling.
- Ensure compliance with employment policies and labor regulations.
Executive Assistance
- Provide administrative support to the CEO.
- Assist with scheduling, internal communications, and project coordination.
- Prepare reports, financial summaries, and operational documents.
- Assist with special projects and company initiatives.
QualificationsRequired
- Minimum 5 years bookkeeping or accounting experience
- Experience performing full charge bookkeeping
- Strong knowledge of accounting principles and financial reporting
- Experience with QuickBooks or similar accounting software
- Proficiency in Excel and Microsoft Office
- Strong organizational and time management skills
- Ability to handle confidential information professionally
- Excellent written and verbal communication skills
Preferred
- Degree in Accounting, Finance, Business Administration, or related field
- HR administration experience
- Experience supporting senior executives
- Experience in catering, hospitality, events, or restaurant industry
