The Administrative Associate will support administrative manufacturing operations. This role will coordinate facilities, employee services, logistics, vendor support, and administrative processes while ensuring efficient daily operations for both local staff and expatriates.
Key Responsibilities:
Administrative Operations Support
- Coordinate daily office and facility operations to ensure functionality and organization
- Support setup and maintenance of common areas, meeting rooms, pantry, and employee spaces
- Monitor office supplies, pantry inventory, and equipment needs
- Submit and track facility maintenance requests and service tickets
Employee & Expat Support
- Coordinate travel arrangements including flights, hotels, and transportation
- Assist expatriates and visitors with request coordination, onboarding logistics, and site support
- Support employee services such as transportation, request coordination, and operational inquiries
Vendor & Service Coordination
- Coordinate vendor schedules, deliveries, and service completion follow-ups
- Escalate unresolved issues to the Administration Supervisor
- Assist with purchase orders, invoices, and administrative documentation
- Maintain vendor service records and tracking logs
Administrative & Reporting Tasks
- Maintain records related to office operations, vendor services, and administrative activities
- Support expense tracking, budget documentation, and reporting
- Prepare spreadsheets, reports, presentations, and operational summaries
Event & Operational Support
- Support company meetings, events, employee engagement activities, and site logistics
- Assist with implementation of administrative procedures and operational improvements
- Perform other duties as assigned
Minimum Qualifications:
- Bachelor’s degree preferred (Business Administration or related field)
- 1–3 years of administrative, facilities, or office operations experience
- Proficiency in Microsoft 365 (Excel, Outlook, Teams, PowerPoint)
- Strong organizational, coordination, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
Physical Requirements:
· Ability to sit, stand, and walk for extended periods between office, classroom, and production floor environments.
· Ability to conduct in-person training sessions, including standing for long durations while presenting.
· Frequent use of computers, presentation tools, and training systems for content development and delivery.
· Ability to move throughout manufacturing and warehouse areas to observe training effectiveness and support employees.
· Visual and auditory ability to effectively deliver training, monitor participation, and assess employee comprehension.
· Ability to lift and handle training materials or equipment (e.g., laptops, projectors, training kits) as needed.
Work Environment:
· Combination of office, classroom, and manufacturing/warehouse environments.
· Frequent interaction with production employees, supervisors, and cross-functional teams.
· Exposure to active production floor conditions, including noise, movement, and PPE requirements.
· Fast-paced environment supporting high-volume workforce training and operational demands.
· Regular coordination with HR, Operations, Quality, and EHS teams.
· Dynamic setting requires flexibility to adjust training schedules based on production needs and staffing levels.
