Overview
We are seeking a dynamic and detail-oriented Part Time Production and Office Assistant to join our team. Responsibilities
- Assist with production tasks, including preparing materials, organizing supplies, and supporting the production team to meet daily goals
- Manage front desk duties such as greeting visitors, answering multi-line phone systems, and providing excellent customer support
- Handle data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and invoicing purposes
- Support office management activities including filing, proofreading documents, calendar management, and organizing meetings
- Maintain a clean and organized workspace, ensuring all office supplies are stocked and equipment is functioning properly
- Provide clerical support by managing correspondence, processing incoming and outgoing mail, and performing general administrative duties
- Assist with phone etiquette by professionally managing inquiries via multi-line phone systems in both English and bilingual settings
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills and attention to detail
- Familiarity with QuickBooks for bookkeeping and financial recordkeeping is preferred
- Experience with front desk operations, multi-line phone systems, and customer service is highly desirable
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy skills
- Strong typing skills along with excellent proofreading abilities to ensure accuracy in all documents
- Knowledge of office management practices including filing systems, data entry, calendar management, and time management techniques
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
