CMG Contracting LLC is a growing sitework contractor specializing in excavation, demolition, underground utilities, grading, drainage, and complete site development throughout New Jersey.
As our company grows, we're looking for an experienced Operations Manager / Office Manager to help build the systems, procedures, and organization needed to take our business to the next level.
We're not looking for someone to simply answer phones. We're looking for someone who enjoys creating structure, improving efficiency, organizing information, and building processes that allow a growing construction company to operate smoothly.
What got us here won't get us where we're going. We need someone who can help create the foundation for the next stage of growth.
Responsibilities
- Manage all day-to-day office operations.
- Answer incoming calls, emails, and customer inquiries.
- Follow up with new leads and schedule appointments.
- Coordinate schedules with the Construction Manager, field crews, subcontractors, suppliers, and clients.
- Maintain project documentation from start to finish.
- Create and maintain estimating templates, proposal templates, and office forms.
- Develop onboarding procedures for new employees.
- Build Standard Operating Procedures (SOPs), workflows, checklists, and office protocols.
- Organize digital files, job folders, permits, contracts, and project records.
- Track project budgets, costs, and job progress.
- Assist with job scheduling and resource planning.
- Reconcile bank and credit card accounts.
- Maintain accurate bookkeeping records and assist with QuickBooks.
- Track customer invoices, payments, accounts receivable, and collections.
- Coordinate vendor payments and purchase orders.
- Monitor fleet maintenance schedules, registrations, inspections, and preventive maintenance intervals.
- Maintain equipment records and service schedules.
- Assist with payroll preparation and administrative reporting.
- Help improve efficiency throughout the company by identifying better systems and processes.
Qualifications
- Minimum 5 years of office management or operations management experience.
- Construction industry experience strongly preferred.
- Experience with QuickBooks Online.
- Excellent organizational and time management skills.
- Strong written and verbal communication.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Self-motivated and able to work independently.
- Strong attention to detail.
