Job Description: Patient Access Specialist (Hybrid)

Summary:The Patient Access Specialist optimizes patient care by leading the scheduling team and managing front-end operations. This role ensures high service standards through efficient registration, complex insurance management (verification, eligibility, and prior authorizations), and rigorous workflow auditing. By actively scheduling patients and identifying process improvements, you will facilitate seamless communication and access within our behavioral healthcare practice.
Key Responsibilities:
Scheduling:
- Coordinate and schedule new patient appointments as assigned.
- Oversee accurate registration for behavioral and neuropsychological services.
- Fill cancellations as they occur.
- Audit neuropsychology schedules to verify accuracy (time, location, and provider capacity) and ensure all pre-appointment tasks, such as authorizations, forms and portal access, are completed.
- Answer incoming phone calls or respond to phone messages to schedule appointments.
- Assist patients with portal troubleshooting and documentation completion.
- Process and obtain referrals via EPIC and fax systems.
- Maintain thorough documentation of all patient communications in the EHR.
Insurance Verification:
- Verify active insurance coverage and secure necessary benefit information or prior authorizations.
- Accurately document all insurance-related communications within the patient’s EHR.
- Perform weekly audits of provider schedules to re-confirm insurance eligibility before appointments.
- Proactively contact patients to resolve insurance eligibility issues and obtain updated information.
Other Duties:
- Analyze audit results to identify error trends and recommend workflow improvements to the Office Manager.
- Complete all assigned weekly Key Performance Indicators (KPIs).
- Monitor and respond to emails and EHR messages promptly throughout the day.
- Maintain active communication with administrative staff and providers via Google Chat.
- Provide front-desk coverage by checking in patients and collecting necessary documentation or payments when required.
- Participate in all scheduled team meetings.
- Other responsibilities as assigned.
Compensation & Benefits:
- Salary Full-time W-2 exempt $56,000 - $62,000
- Health and welfare benefits eligible.
- Paid time off in accordance with Company policy.
Requirements:
- 3-5 years of experience in medical office scheduling and insurance verification/authorization, with a preference for experience in behavioral health or neuropsychology.
- Previous lead, supervisory, training, or auditing experience preferred.
- In-depth knowledge of medical terminology, insurance plans, referral processing, and authorization requirements.
- Proficiency in Electronic Health Record (EHR) and scheduling systems (experience with Azalea is a plus).
- Exceptional attention to detail, coupled with strong auditing and quality assurance skills necessary to identify and recommend workflow process improvements.
- Demonstrated ability to work independently, promote team collaboration and accountability, and maintain reliable attendance in a fast-paced, adaptable healthcare environment.
- Strong written and verbal communication skills, demonstrating the ability to interact professionally and compassionately with patients, providers, and team members.
