Our company is seeking a highly organized and detail-oriented Administrative Assistant to support daily operational, payroll, onboarding, and light accounting functions. Reporting directly to the Business Specialist, this role plays a key part in maintaining accurate workforce documentation, supporting payroll processes, ensuring smooth onboarding and training coordination, and assisting the accounting team achieve better efficiency. The Administrative Assistant will also provide junior-level HR support, contributing to employee recordkeeping, communication, and compliance efforts.
Responsibilities:
- Strategic & Tactical Execution: Assist with high-impact initiatives while managing detail-rich tasks, ensuring every action aligns with the Administration/Executives overarching goals.
- Proactive Anticipation: Identify and resolve potential issues before they arise, ensuring smooth operations and allowing the Administration/Executives to focus on only what they can do.
- Assist with long-term goal identification and execution as part of an ongoing effort to optimize the organization.
- Process Optimization & AI Utilization: Leverage modern AI tools (such as Google Gemini) to accelerate document drafting, optimize internal communications, and automate routine administrative workflows.
- Collect, review, and process daily timesheets.
- Prepare and coordinate weekly payroll documentation.
- Assemble payroll packets for invoicing and budget tracking.
- Support ongoing budget monitoring and cost documentation.
- Oversee onboarding and training processes, including:
- Purchasing required onboarding materials & training
- Tracking certifications and collecting documentation
- Monitoring expiration dates and ensuring compliance
- Maintaining accurate onboarding records
- Maintain employee databases, digital files, and HR documentation.
- Track employee attendance and leave to support payroll accuracy.
- Assist with job postings, candidate screening, and interview scheduling.
- Coordinate new-hire orientation and training sessions.
- Support policy updates, hiring processes, and salary administration as directed.
- Serve as a point of contact for employee questions and direct them to appropriate resources.
- Manage internal and external communications for the HR and administrative functions.
- Assist with scheduling, meeting coordination, and departmental calendars.
- Support compliance with employment and labor regulation.
- Assist with multiple live spreadsheets for tracking project-based accounts payable and accounts receivable details.
- Perform general administrative duties and other tasks as assigned.
Qualification Guidelines
Education
- High School Diploma required,
- Associate degree or coursework in Business Administration, Human Resources, or a related field preferred.
Experience
- Prior administrative, payroll, or HR support experience preferred
- Experience in construction, project coordination, or federal contracting is a plus.
Hard Skills
- Strong organizational and time-management skills.
- Tech fluent on both Mac and PC, with practical troubleshooting abilities
- Proficiency in Google Workspace and Microsoft Office Suite; particularly Google Sheets
- AI Tool Proficiency: Practical experience using generative AI platforms for text generation, data categorization, and problem-solving.
- Prompt Engineering & Information Synthesis: Ability to write clear, structured prompts to extract accurate data analysis, summarize lengthy regulatory updates, or draft structured policies.
- Strong written and verbal communication abilities.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- High attention to detail and accuracy in documentation.
- Ability to maintain confidentiality and handle sensitive information.
- Eagerness to learn and adapt quickly.
- Interest in construction, project management, or federal contracting is a plus.
