The Client Communications Coordinator will work within the Media Communications and Client Services Department under the direction of the department leader. The selected candidate will be responsible for assisting and supporting the Media Communications and Client Services Department with a variety of communications, graphic design, film and podcast production, journalism, event management, and website content management.
JOB FUNCTIONS AND RESPONSIBILITIES
Event Management:
- Prepare monthly workshops, webinars, and other events like scheduling invitation emails, printing name tags, sign-in sheets, and signage, room setup (e.g., camera equipment, tables, chair, etc.), and provide input on display design, give-a-ways, etc. and attend select events throughout the year.
- Maintain workshops & webinars webpage and calendar PDF so they are always up to date.
Podcast:
- Produce and edit assigned weekly podcast episodes.
- Write scripts for weekly client services-focused podcast episodes with input from department leader.
- Generate and publish episode transcripts.
Journalism:
- Research relevant topics (e.g., construction, landscape, human services, OSHA, Rancho Mesa, etc.) and write, edit and proofread articles for the weekly electronic newsletter and company website using established style guidelines.
Graphic Design/Word Processing:
- Design new and edit existing branded documents using established branding guidelines (e.g., Marketing Summaries, Supplementals, etc.), mass emails, signage, etc.
- Design and post signage for office TVs including welcome signs for visitors, birthdays, anniversaries, photo slideshows, etc.
Film:
- Periodically write scripts for client services-focused training videos and webinars with direction from department leader.
- Occasionally, plan, film and edit new client welcome videos using established guidelines.
- Assist with filming and editing video projects with direction from department leader using approved storyboard, proofread scripts, prepare equipment (e.g., lights, backdrop, upload scripts to teleprompter), use clapboard, document filming takes and other director’s notes for editing purposes, assist with recording and streaming live workshops, and other related tasks.
Website Content Management:
- Periodically write content for Frequently Asked Questions databases and manage content records for SafetyOne Platform and RM365 HRAdvantage Portal with input from the Client Technology Coordinator/Specialist.
- Update the company website for client testimonials, workshop and webinar calendar, and other pages as directed.
Marketing:
- Maintain accurate client/prospect contact information in MailChimp.
- Coordinate with Marketing & Media Communications Coordinator/Specialist to promote client services.
JOB REQUIREMENTS
Applicants must have:
- 1-3 years of experience in communications, journalism, public relations or related fields
- Ability to analyze and contextualize information quickly and present ideas and solutions clearly and concisely
- Enthusiasm, creativity, be a self-starter, and team player
- Passion for strategic communications
- Excellent written and interpersonal communication skills
- Strong attention to detail, organization and professionalism
- Willingness to learn new skills and follow established procedures
- Proficiency with Microsoft Office Suite (i.e., Excel, PowerPoint, Outlook, and Word)
- Proficiency with Adobe Creative Suite (i.e., Acrobat DC, Audition, Illustrator, InDesign, Photoshop, and Premiere Pro), and other SAAS platforms is preferred.

Pay: $60,000.00 - $70,000.00 per year
