Position Summary
A Family Office is seeking a reliable, detail-oriented Bookkeeper to provide essential financial and administrative support. This role combines bookkeeping responsibilities with high-level executive assistance in a professional, family-office environment. The ideal candidate is organized, proactive, and comfortable managing multiple priorities with discretion and accuracy.
Key Responsibilities - Bookkeeping & Financial Support
- Manage accounts payable and receivable; reconcile bank and credit card statements.
- Process invoices, expense reports, and payments.
- Maintain accurate financial records using QuickBooks or similar software.
- Prepare monthly financial reports and assist with budgeting and forecasting as needed.
- Support tax preparation by organizing documents and coordinating with accountants.
Key Responsibilities - Executive Assistance
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Handle correspondence, communications, and confidential documents.
- Assist with personal and family-related administrative tasks.
- Organize files, both digital and physical.
- Run errands and provide on-site office support as required.
Schedule & Work Arrangement
- 20-30 hours per week, with flexibility during the summer months.
- On-site: two days per week at the Sarasota office.
- Remote: remaining hours can be performed remotely.
- Occasional additional hours may be needed for time-sensitive projects.
Qualifications
- Experience: 2+ years in bookkeeping and/or executive/administrative support, preferably in a family office, professional services, or small business setting.
- Technical skills: Proficiency in QuickBooks (or equivalent), Microsoft Office Suite (Excel, Outlook, Word), and general office software. Familiarity with financial reporting tools is a plus.
- Soft skills: Strong organizational and time-management abilities, excellent written and verbal communication, high discretion and integrity, and the ability to work independently.
- Other: Reliable transportation for on-site days. Local candidates in the Sarasota area preferred.
Compensation
$22-$30 per hour, commensurate with experience and qualifications. No benefits are offered for this part-time position, though professional development opportunities may be available.
