Job Summary
We are seeking a full-time Follow-Up Specialist to manage communication with our warm client database, build lasting client relationships, support retention, and convert qualified opportunities into memberships, packages, and wellness programs. This is not a customer-service-only position. It combines client relationship management, structured follow-up, CRM discipline, and sales responsibility.
Duties
- Follow up with warm leads, former clients, current clients, and other assigned contacts by phone, text message, and email.
- Conduct professional sales conversations and identify the service, membership, package, or wellness program that best fits each client.
- Convert qualified opportunities into completed sales while maintaining a positive, consultative client experience.
- Schedule appointments, consultations, and follow-up conversations.
- Maintain accurate and complete CRM records, including notes, outcomes, next steps, and scheduled follow-up dates.
- Manage a high-volume daily outreach schedule while maintaining quality and professionalism.
- Re-engage inactive clients and support membership and package retention.
- Complete assigned follow-up tasks without creating unresolved backlogs.
- Submit required daily activity reports and weekly performance reports.
- Collaborate with management and the spa team to improve scripts, follow-up systems, conversion, and client retention.
Required Qualifications
- At least two years of relevant experience in sales, inside sales, business development, client success, retention, recruiting, or another results-driven client-facing role.
- Previous cold-calling or high-volume outbound calling experience is required, although this position primarily works with a warm client database.
- Experience using a CRM system such as HubSpot, Salesforce, Pipedrive, or a comparable platform.
- Strong phone communication and the ability to guide a conversation toward a clear next step or sale.
- Comfort working in a KPI-driven environment with measurable daily and weekly expectations.
- Excellent organization, follow-through, documentation, and time-management skills.
- Professional written communication by text message and email.
- Reliability, accountability, coachability, and the ability to work independently in both office and remote settings.
- Ability to maintain client confidentiality and represent both companies professionally.
Preferred Background
- Wellness, spa, fitness, medical office, hospitality, membership-based business, or health-related service experience.
- Experience selling memberships, service packages, recurring plans, or wellness programs.
- Experience with client reactivation, retention campaigns, or follow-up after consultations and visits.
- Leadership, team-lead, scheduling, or pipeline-management experience.
Two-Week Evaluation Expectations
- Complete required onboarding and demonstrate working knowledge of the company’s services, memberships, packages, and programs.
- Begin active outreach to assigned warm leads and clients following the approved communication process.
- Meet the introductory sales target assigned by management for the available lead volume and campaign.
- Accurately document 100% of assigned client interactions and next steps in the CRM.
- Submit daily activity reports and the required weekly performance summary.
- Demonstrate professional communication, reliability, accountability, consistent follow-through, and ability to work without constant supervision.
- Show clear progress in conversion, client engagement, and effective use of coaching.
