We are seeking a highly organized, detail-oriented Fleet and Procurement Specialist to help ensure our vehicles, facilities, purchasing, and operational resources support our mission efficiently and safely.
Position Summary
The Fleet and Procurement Specialist oversees the day-to-day coordination of the agency's fleet operations while managing purchasing activities, vendor relationships, inventory, and facility support. This role is responsible for ensuring agency vehicles, equipment, and operational resources are properly maintained, compliant, and available to support program operations.
Key Responsibilities

Coordinate daily fleet operations, vehicle assignments, maintenance schedules, repairs, inspections, registrations, and insurance documentation.

Manage purchasing activities, including sourcing vendors, obtaining competitive quotes, processing purchase orders, and monitoring expenditures.

Develop and maintain strong vendor relationships while negotiating pricing and ensuring quality service.

Monitor fleet performance, fuel usage, GPS activity, maintenance records, and operational costs.

Coordinate roadside assistance, towing, accident follow-up, and vehicle replacement when necessary.

Maintain inventory of fleet supplies, equipment, and operational materials.

Coordinate facility maintenance projects, vendor services, repairs, and safety inspections.

Prepare reports related to fleet operations, procurement activities, vendor performance, and inventory.

Maintain accurate electronic records and ensure compliance with agency policies and regulatory requirements.

Provide operational support for emergencies and other agency needs as assigned.
Required

High school diploma or equivalent.

Minimum of 3 years of experience in fleet operations, procurement, transportation, automotive services, facilities, or a related field.

Experience coordinating vendors, scheduling maintenance, maintaining records, and managing operational processes.

Strong organizational, communication, problem-solving, and computer skills.

Proficiency with Microsoft Office and the ability to learn fleet management, GPS, and procurement software.

Valid driver's license meeting agency and insurance requirements.

Ability to travel throughout New Jersey as needed (business mileage reimbursed).
Preferred

Associate's or Bachelor's degree in Business, Operations Management, Transportation, Automotive Technology, or a related field.

Experience in healthcare, nonprofit, human services, or developmental disabilities services.

Knowledge of wheelchair-accessible vehicles and transportation safety requirements.

Physical & Work Requirements
This position requires travel between agency locations, vendor sites, and repair facilities. Responsibilities include inspecting vehicles, working both indoors and outdoors, lifting up to 25 pounds occasionally, and responding to operational emergencies outside of normal business hours when needed.
