Position Summary
The Program Manager is responsible for supervising and supporting the efficient and effective operation of assigned program locations, staff, venues, and supporting infrastructure. This role ensures that individuals served receive high-quality care, meaningful programming, and opportunities for personal growth while maintaining compliance with DODD regulations and Downsize Farm standards.
Essential Duties and Responsibilities
Leadership and Team Development
- Serve as the leader of the advocate team by fostering enthusiasm, promoting teamwork, delegating responsibilities, and demonstrating servant leadership.
- Train, coach, and monitor staff to ensure compliance with:
- DODD standards and procedures, including medication administration, personal funds management, incident reporting, and documentation requirements.
- Downsize Farm philosophy that all clients and staff are treated as family.
- Venue quality standards, including menu planning and quarterly scheduling.
- Client development goals, including quality care and progress on PATH objectives.
- Mentor and support newly hired staff throughout onboarding and training.
- Conduct semi-annual performance evaluations for Client Advocates and Aides.
- Hold monthly one-on-one meetings with Client Advocates to discuss performance, concerns, goals, and development opportunities.
Program Oversight and Compliance
- Review attendance records, Piece Tracker documentation, medication administration records, personal funds, and goal documentation daily; resolve discrepancies and provide retraining as needed.
- Review personal funds logs, enter information into Brittco, and submit required documentation to the designated Navigator.
- Ensure staff complete PATH assessments and participate in PATH meetings; implement resulting recommendations and action plans.
- Complete monthly emergency drills and ensure:
- New clients participate in a drill within their first 30 days.
- All clients participate in at least one emergency drill annually.
- Review UI report notes and address identified concerns promptly.
Operations and Facility Management
- Develop weekly plans and delegate daily operational tasks, including:
- Medication administration
- Personal care
- Building maintenance
- Venue preparation
- Encourage client participation in appropriate daily responsibilities and activities.
- Monitor facility appearance and condition, ensuring buildings and grounds meet organizational standards.
- Report facility concerns, program needs, and venue recommendations to the Program Director.
- Review quarterly venue schedules, address conflicts, and ensure successful implementation of meaningful programming and employment experiences.
Staff Training and Supervision
- Monitor, coach, and train Client Advocates and Aides.
- Ensure staff understand venue expectations, including:
- Venue guides
- Venue tasks
- Scheduled days and times
- Desired skills and outcomes for clients
- Conduct venue observations and provide performance feedback as needed.
- Review and process time-off requests.
- Monitor attendance and ensure accurate payroll documentation.
Client Support
- Maintain knowledge of all clients and their individual needs.
- Assist staff in developing creative and effective approaches for supporting individuals experiencing challenges or transitions.
- Report concerns to the appropriate Navigator.
- Conduct Individual-Specific Training as needed.
- Perform Client Advocate duties when supervisory responsibilities permit.
Additional Duties
- Perform other duties as assigned.
Required Training and Certifications
- Attend all mandatory quarterly training sessions provided by Downsize Farm.
- Maintain current First Aid and CPR certification and provide documentation to Human Resources.
- Maintain Medication Administration Certification, when required, and provide documentation to Human Resources.
- Provide updated copies of:
- Driver’s License (if applicable)
- Private Automobile Insurance (if applicable)
Qualifications
Education
- High School Diploma or equivalent required.
Experience
- Minimum of one (1) year of experience working with individuals with disabilities.
Certifications and Eligibility
- Must meet DODD eligibility and certification requirements for Adult Services Employment.
Licenses
- Valid driver's license with six (6) points or fewer on driving record.
Pay: $19.00 - $24.00 per hour
