Position Overview
The Front Office Specialist is a vital part of the patient experience at Mederi Center, serving as the first point of connection for individuals exploring care options and seeking a more personalized approach to their health and wellness.
This role plays an important part in helping prospective patients feel informed, supported, and confident as they explore care options at Mederi Center. The Front Office Specialist thoughtfully guides individuals through the inquiry and onboarding process, helps patients understand Mederi Center’s personalized approach to care, and supports them in determining which of our Practitioners are the right fit for their needs.
In addition to patient-facing responsibilities, this role serves as the front desk presence for Mederi Center and plays an important part in daily clinic operations, patient scheduling, continuity of care, and administrative coordination. The Front Office Specialist works closely with practitioners and the support team to ensure seamless communication, coordinated patient experiences, and consistent operational support. This role also contributes to clinic growth by identifying opportunities to improve processes, cross-training across operational areas to support seamless clinic operations, and helping maintain an efficient, welcoming clinic environment.
The ideal candidate is someone who can balance compassion and reassurance with the ability to thoughtfully guide conversations and support prospective patients through their decision-making process. They are emotionally intelligent and skilled at using language, tone, and conversation to build trust, address concerns, and help individuals feel confident exploring care at Mederi Center. Key Responsibilities
Patient Experience & Onboarding
· Serve as the primary point of connection for prospective and established patients, providing a welcoming, knowledgeable, and professional first impression of Mederi Center
· Guide prospective patients through the inquiry and onboarding process, helping them understand care options, expectations, and next steps
· Support patient onboarding, consultation scheduling, follow-up communication, and related documentation
· Provide a highly personalized patient experience while navigating sensitive conversations, complex health concerns, and unique patient needs with discretion and professionalism
Front Office Reception & Clinic Operations
· Facilitate front desk operations by coordinating patient flow, reception needs, and daily administrative processes while maintaining a professional and welcoming environment
· Answer incoming calls, emails, and electronic communications with professionalism, discretion, and thoughtful follow-through
· Warmly welcome and assist scheduled patients, walk-in visitors, and retail customers
· Support opening and closing procedures and daily clinic readiness
· Provide administrative support to practitioners, Client Liaisons, and leadership as needed
Administrative & Operational Support
· Maintain accurate patient information, documentation, and tracking systems within designated databases
· Identify opportunities to improve the patient experience, onboarding process, and operational workflows
· Cross-train in other operational areas and provide support where needed to maintain seamless clinic operations
Required Experience & Skills
· Experience in a medical reception, healthcare front office, or patient-facing administrative role
· Experience with patient scheduling, onboarding processes, intake documentation, and coordinating patient communication
· Experience utilizing electronic health record (EHR) systems and maintaining accurate patient information
· Proficiency with computer systems and common office applications, including Microsoft Word, Excel, Outlook, and other digital tools
· Exceptional customer service skills with the ability to create trust and confidence through thoughtful interactions
· Strong verbal and written communication skills with the ability to communicate clearly, professionally, and effectively in sensitive patient interactions
· Tactful communication skills with the ability to guide conversations, address concerns, and help individuals feel informed and confident as they explore care options
· Ability to support individuals navigating cancer and complex health concerns with compassion, emotional intelligence, and professionalism
· Highly organized with strong attention to detail, follow-through, and the ability to manage multiple priorities in a busy clinical environment
· Ability to maintain confidentiality and adhere to HIPAA standards
· Cultivates a warm and inviting atmosphere
Preferred Qualifications
· Experience in relationship building, client engagement, or other service-oriented roles.
· Experience with ChARM Health or other healthcare-specific electronic health record systems
· Background or strong interest in integrative, functional, or holistic medicine

Compensation: Starting at $24.00/hour, with higher starting pay available based on experience and qualifications. Generous paid time off, holiday pay, and apothecary and product discounts.
