Virtual Part-Time ARD Facilitator and Special Education Case Manager
Primary Purpose:
To provide part-time virtual support in facilitating Admission, Review, and Dismissal (ARD) committee meetings and managing assigned special education cases. This position ensures that ARD meetings, individualized education programs (IEPs), student records, and required documentation are completed accurately and in compliance with federal, state, and district requirements. The ARD Facilitator/Case Manager collaborates with parents, campus staff, administrators, related service providers, and other stakeholders to support appropriate educational programming for students receiving special education services.
Key Responsibilities:
- Schedule, coordinate, and facilitate virtual ARD committee meetings.
- Ensure all required ARD committee members are invited and properly documented.
- Prepare ARD documents and agendas before meetings.
- Review student records and supporting documentation to ensure ARD paperwork is complete, accurate, and ready for committee consideration.
- Guide the ARD committee through the meeting process while supporting meaningful parent participation and collaborative decision-making.
- Document committee decisions accurately in Brookesmith ISD’s special education software system.
- Serve as case manager for assigned students and maintain organized, current special education records.
- Monitor annual ARD dates, reevaluation dates, IEP implementation dates, progress-reporting periods, and other required timelines.
- Collaborate with teachers and service providers to develop appropriate present levels of academic achievement and functional performance, measurable annual goals, accommodations, services, and progress-monitoring procedures.
- Gather information and data from teachers, parents, related service providers, and other staff members before ARD meetings.
- Coordinate with evaluation personnel when updated evaluation information, a Review of Existing Evaluation Data, or additional assessment is needed.
- Provide finalized IEP documents and required notices to parents and appropriate staff members within district timelines.
- Ensure teachers and service providers have access to and understand their responsibilities for implementing each student’s IEP.
- Monitor the completion of IEP progress reports and other required special education documentation.
- Support transfer students by coordinating records, reviewing existing services, and facilitating required transfer ARD meetings.
- Communicate professionally and consistently with parents, campus staff, administrators, and special education personnel.
- Maintain student confidentiality and comply with FERPA and district confidentiality requirements.
- Participate in required meetings, training, and professional development.
- Complete other ARD facilitation and special education case-management duties as assigned.
Qualifications:
- Bachelor’s degree from an accredited college or university.
- Valid Texas teaching certificate or other appropriate Texas educator certification preferred.
- Knowledge of the ARD process, IEP development, special education procedures, and applicable federal and Texas requirements.
- Strong organizational, written communication, verbal communication, and interpersonal skills.
- Ability to manage multiple students, deadlines, meetings, and documentation requirements.
- Ability to facilitate meetings professionally and support collaboration among families and school personnel.
- Proficiency with virtual meeting platforms, electronic records, and special education data-management systems.
- Ability to work independently in a virtual environment while maintaining consistent communication with district personnel.
- Ability to protect confidential student information and exercise professional judgment.
Preferred Qualifications and Experience:
- Previous experience facilitating ARD committee meetings.
- Previous experience serving as a special education case manager.
- Special education teaching or administrative experience.
- Experience developing and reviewing IEPs.
- Experience using special education documentation software.
- Familiarity with Texas special education compliance requirements and timelines.
Working Conditions:
- Part-time, primarily virtual position.
- Work hours and assigned caseload will be determined based on district needs.
- Attendance at scheduled virtual meetings during district operating hours is required.
- Occasional in-person attendance, training, or meetings may be requested with advance notice.
- Reliable internet access and an appropriate confidential workspace are required.
Pay: $35,000.00 - $39,000.00 per year
