Duties
- Coordinate and schedule surgical procedures by collaborating with surgeons, anesthesiologists, nursing staff, and patients to confirm dates, times, and required resources.
- Verify insurance coverage, perform insurance authorization requests, and ensure all necessary documentation complies with healthcare regulations such as HIPAA.
- Manage electronic health records (EHR systems) including Epic, Meditech, eClinicalWorks, Athenahealth, and other EMR platforms to accurately document patient information and care plans.
- Review medical documentation for completeness and accuracy, including CPT coding (Current Procedural Terminology), ICD-9/ICD-10 codes (International Classification of Diseases), and Medicare requirements.
- Communicate effectively via multi-line phone systems with patients, providers, and insurance companies while maintaining professional phone etiquette.
- Assist with medical billing processes by verifying insurance details, performing insurance verification, and supporting collection efforts related to surgical procedures.
- Maintain meticulous records of scheduling activities, patient information, clinical notes, and confidentiality policies in compliance with HIPAA standards.
- Provide exceptional patient service by answering inquiries promptly, managing appointment changes efficiently, and supporting administrative tasks at the front desk or reception area.
Qualifications
- Proven experience in medical scheduling within a clinical or hospital setting.
- Strong knowledge of EMR/EHR systems such as Epic, Ethomas, or Athenahealth.
- Excellent understanding of medical terminology, CPT coding, ICD coding (ICD-9/ICD-10), and health insurance processes including Medicare.
- Demonstrated ability to review medical documentation accurately while adhering to clinical confidentiality policies.
- Proficiency in Microsoft Office Suite (Word, Excel) along with typing skills (including 10-key) for efficient administrative support.
- Exceptional organizational skills with the ability to manage multiple schedules simultaneously in a fast-paced environment.
- Strong communication skills—both verbal and written—paired with professional phone etiquette and customer service orientation.
- Office management experience within a healthcare setting is highly desirable; dental office experience is a bonus.
