Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the office
- Answer multi-line phone systems promptly and courteously, directing calls or taking messages as needed
- Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
- Handle data entry tasks accurately, including filing, record keeping, and updating client or patient information
- Support office management activities by maintaining organized files, proofreading documents, and managing correspondence
- Provide exceptional customer service by addressing inquiries efficiently and professionally both in person and over the phone
- Assist with basic bookkeeping tasks such as invoicing or tracking payments when necessary
Requirements
- Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly preferred to serve diverse client needs effectively
- Demonstrated organizational skills with keen attention to detail and time management capabilities
- Previous experience in customer support or customer service roles is advantageous
- Familiarity with front desk operations within medical or dental settings is a plus
- Technical proficiency in data entry, filing systems, and basic bookkeeping practices
