Job Summary
We are seeking a proactive and detail-oriented Front Desk Coordinator to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. In this role, you will manage front desk operations, handle multi-line phone systems, coordinate appointments, and provide exceptional customer service to ensure a smooth and professional environment. Duties
- Greet visitors and clients warmly, ensuring a positive first impression of the organization.
- Operate multi-line phone systems efficiently, directing calls to appropriate personnel and taking accurate messages.
- Manage appointment scheduling and calendar coordination using office management software and Google Workspace tools.
- Route messages promptly to physicians, technicians, and clinical staff
- Process incoming faxes, referrals, and correspondence
- Provide administrative support including photocopying, proofreading documents, and managing correspondence.
- Assist with office management tasks such as inventory control of office supplies and maintaining cleanliness of the reception area.
- Support customer service efforts by addressing inquiries promptly and professionally, both in person and via phone or email.
- Utilize computer skills in Microsoft Office and other relevant software to streamline daily operations.
- Handle billing or bookkeeping tasks using QuickBooks or similar accounting software when necessary.
- Demonstrate excellent phone etiquette and organizational skills to manage busy front desk activities efficiently.
- Check patients in and out accurately and efficiently
- Verify and update patient demographic and insurance information
- Scan and upload insurance cards, referrals, and patient documents
- Maintain accurate patient records and documentation
- Coordinate referrals as needed
Skills
- Proven experience in Medical front office management.
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry tools.
- Familiarity with multi-line phone systems and effective phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
- Experience in Medical Front Office with a focus on professional communication and support.
- Knowledge of medical or dental receptionist duties is required
- Attention to detail for proofreading documents, managing schedules, and maintaining accurate records.
- Personal assistant experience or office experience that demonstrates reliability and discretion is advantageous.
