Phelps Dunbar LLP is an AmLaw 200 full-service law firm. The Billing Assistant performs all duties necessary to accurately and timely produce client invoices in accordance with client billing guidelines and monitors the work in process. The position reports directly to the Firm Billing Manager. The Billing Assistant is expected to uphold all firm policies and procedures and represent the department with a professional and positive manner with attorneys and administrative staff.
Essential Duties and Responsibilities:

Responsible for generating pre-bills, processing invoice revisions and finalizing invoices.

Timely electronic invoice submissions (including retrieving backup for costs)

Responsible for maintaining matter initial and supplemental matter budgets.

Communicate client billing guidelines to attorneys as needed.

Assist file intake staff with accurate maintenance of timekeeper rates, task and activity codes, cost exemptions and billing information pertinent to specific clients/matters.

Aid with accounts receivable collections of unidentified payments.

Other duties as assigned by Manager.
Education and Experience Required:

Minimum of high school diploma or GED is required.

Bachelor’s degree or minimum of 2 years’ experience is preferred.
Qualifications and Skills Required:

Proficiency in Microsoft Office and legal billing software, particularly Elite Enterprise or Elite 3E. Ebilling Hub and Electronic billing experience with various platforms preferred.

Excellent communication skills and must be courteous, professional and a team player.

Strong organizational skills with an ability to multi-task high volume workload.
Performance Measures:
Performance is measured by the assistant’s billing knowledge, assurance that invoices are processed and billed timely, accurately and in accordance with the firm and client’s guidelines, proactive in making suggestions and improving processes and ability to meet all deadlines and handle assigned tasks.
