Responsibilities
- Greet visitors and clients at the front desk with professionalism and enthusiasm, creating a positive first impression
- Manage multi-line phone systems, directing calls accurately and courteously to appropriate departments or team members
- Handle data entry tasks with precision using tools like Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records
- Support office management duties such as filing, proofreading documents, calendar management, and organizing files for easy retrieval
- Assist with customer support inquiries via phone, email, or in person, providing clear information and solutions promptly
- Maintain a tidy and organized front desk area, ensuring all office supplies are stocked and equipment is functioning properly
- Provide clerical assistance including typing correspondence, scheduling appointments, and supporting administrative projects as needed
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Previous office experience or clerical experience demonstrating organizational skills and attention to detail
- Familiarity with QuickBooks for basic bookkeeping tasks is a plus
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Strong typing skills combined with proofreading abilities to ensure accuracy in all communications
- Knowledge of office management procedures including filing systems, data entry, and calendar coordination
- Customer service expertise with a friendly demeanor and problem-solving mindset
- Experience as a medical or dental receptionist or personal assistant is advantageous for understanding specialized client needs
