♡ We are hiring an experienced Mental Health Billing Specialist to support the delivery of our professional therapeutic services through accurate and timely billing, responsive client care, and thoughtful collaboration across our administrative and clinical teams. ♡
This position is for employee status at part-time (min 20 hours a week, up to max 25) with full benefits and includes an expected hourly compensation range between $30 – $34 an hour, dependent on training, experience, and bilingual ability. We are hiring those local to the Portland-metro area who can work remote or hybrid and are able to start training between Sept 1-30th of 2026!

The Billing Specialist is a vital and valued role within our practice. We believe excellent mental health care depends not only on skilled clinicians, but also on strong systems, thoughtful administration, and a team that communicates well as we take responsibility for the work we share. This role brings technical expertise, strong professional skills, and a collaborative posture to help ensure communication is accurate and respectful, our operational systems are reliable, and revenue is consistently managed with initiative and follow-through. Day-to-day responsibilities include insurance verification, claims submission, payment posting and reconciliation, client accounts and balances, denial management, and billing-related communication with clients, clinicians, and insurance carriers. This role is also intentionally cross-trained to support Client Care Coordination on Fridays, assisting in scheduling, responding to client inquiries, onboarding new clients, and giving the first experience of the practice to potential clients. This position works closely with the Practice Director, Client Care Coordinator, Practice Manager, and clinical team.
$ COMPENSATION
$30-$34 per hour, depending on experience, qualifications, and bilingual ability. This position is eligible for full benefits offered to qualifying employees.

WHAT YOU’LL DO: DUTIES & RESPONSIBILITIES
► Billing:
- Manage the full behavioral-health billing cycle from claim preparation through payment and reconciliation.
- Submit and monitor insurance claims through SimplePractice and payer portals.
- Review prepared, scrubbed, rejected, and denied claims and take appropriate corrective action.
- Investigate unpaid, delayed, rejected, and denied claims and follow through with insurance carriers until resolution.
- Post and reconcile insurance payments, including identifying and resolving unallocated or misapplied payments.
- Monitor client balances and communicate with clients regarding billing questions, insurance changes, and outstanding balances in a professional and compassionate manner.
- Review accounts for coding, authorization, eligibility, payment, and documentation issues that may affect reimbursement.
- Maintain accurate billing records and timely follow-up systems.
- Conduct regular audits of claims, payments, client balances, and account activity.
- Identify recurring billing problems and recommend solutions.
► Client Care Coordination Coverage: As part of the position, you will be cross-trained to provide Client Care Coordination coverage, typically on Fridays. This cross-training is intended to create continuity of client care and administrative coverage, while giving the Billing Specialist a broader understanding of the client experience and the operations of a mental health practice.
- Responding to client inquiries by phone, secure messaging, and email.
- Scheduling and rescheduling client appointments.
- Supporting new-client onboarding and helping clients understand next steps in beginning services.
- Coordinating intake and scheduling information between clients and clinicians.
- Supporting clients with administrative questions and helping connect them with the appropriate member of the team.
- Maintaining accurate scheduling and client information in SimplePractice and related systems.
- Communicating with clinicians regarding scheduling needs, new client referrals, and onboarding.
- Providing warm, professional, and responsive customer service.
- Following established workflows for referrals, new-client intake, scheduling, and communication.
- Providing coverage for the Client Care Coordinator during planned absences or other periods of need.
► Insurance Verification & Credentialing:
- Verify insurance benefits and eligibility for clients as needed.
- Maintain working knowledge of commercial insurance and Medicaid billing requirements.
- Monitor payer requirements, changes, and policies that affect the practice.
- Coordinate provider credentialing and re-credentialing activities, including CAQH and payer enrollment processes.
- Track credentialing applications, renewals, expirations, and outstanding requests.
- Communicate with insurance representatives and payer representatives to resolve billing and credentialing issues.
► Auditing, Reporting & Systems Improvement:
- Prepare regular billing, payment, insurance, and accounts-receivable reports with our templates.
- Track key revenue-cycle metrics and identify trends.
- Develop and maintain billing procedures, workflows, templates, checklists, and audit systems.
- Recommend improvements that increase accuracy, efficiency, reimbursement, and consistency.
- Help create and maintain administrative documentation as practice systems evolve.
- Participate in special projects and operational improvements as needed.
► Team Collaboration:
- Serve as a billing and administrative resource for clinicians and staff.
- Communicate clearly and respectfully with clinicians when documentation, coding, scheduling, or other issues affect billing or client care.
- Work collaboratively with the Practice Manager, Client Care Coordinator, Director, and other administrative team members.
- Participate in weekly team, administrative, billing, and supervisory meetings as applicable.
- Provide timely updates when an issue requires additional support, decision-making, or escalation.
- Contribute to a team culture characterized by accountability, direct communication, curiosity, and mutual respect.
► Confidentiality & Compliance:
- Maintain strict confidentiality of protected health information and comply with HIPAA and organizational privacy and security policies.
- Maintain secure practices when working remotely.
- Complete required HIPAA, data security, and administrative training.
- Maintain accurate and timely client and billing records.
✓ QUALIFICATIONS
- At least 2 years of behavioral health or mental health billing experience.
- Experience with insurance verification, claims submission, payment posting, denial management, and accounts receivable follow-up.
- Working knowledge of CPT and ICD-10 coding and common behavioral-health billing practices.
- Experience working with commercial insurance and Medicaid.
- Experience using an EHR and insurance payer portals.
- Strong working knowledge of Google Workspace and spreadsheets.
- Excellent attention to detail and follow-through.
- Ability to independently organize and prioritize work without losing track of deadlines or recurring responsibilities.
- Strong written and verbal communication skills.
- Ability to communicate professionally and compassionately with clients, clinicians, administrative staff, and insurance representatives.
- Ability to identify problems, investigate their cause, and determine when an issue can be resolved independently versus when it should be escalated.
- Commitment to confidentiality and HIPAA compliance.
- Ability to work effectively both independently and as part of a small multidisciplinary team.
- Reliable, secure, confidential, and non-distracting remote work environment.
- Ability to work a minimum of 20 hours per week, with regular availability during business hours, Monday–Friday, 9:00 a.m.–5:00 p.m.
- Availability to provide Friday Client Care Coordination coverage as part of the regular workweek.
- Ability to occasionally work up to a max of 25 hours in a week when additional Client Care Coordination coverage is needed.
- Availability to travel to complete necessary local administrative tasks, such as mail collection and bank deposits.
- Successful completion of a background check.
Optional but Preferred!
- Experience in billing for a mental health group practice or behavioral health agency in Oregon.
- Familiarity using SimplePractice EHR (electronic health records).
- Recent claim processing with Oregon Medicaid, specifically CareOregon and Trillium (2026 procedures).
- Success with provider credentialing and payer enrollment.
- Upkeep in provider or practice portfolios with CAQH ProView, now DataSpring.
- Experience with ERA/EFT enrollment and reconciliation.
- Demonstrated skill-set for creating billing reports, dashboards, or other operational metrics.
- Practice with client scheduling, intake coordination, and behavioral-health customer service.
- Medical billing or behavioral-health billing certification such as CPB or CMRS.
- Experience developing administrative procedures, workflows, or internal documentation.
- Bilingual Spanish proficiency in written and oral communication, certified through ALTA Language Services upon hiring.

SCHEDULE & WORK ENVIRONMENT
This is a W-2, part-time, non-exempt employee position that operates primarily as remote, with occasional in-person responsibilities in the Portland area. This role typically uses their own devices with our HIPAA-secure platforms. Use of our beautiful office space at our two locations in inner and outer SE PDX is also occasionally available for on-site visits, meetings and work days.
The typical schedule is 20 hours a week, distributed across at least 4 weekdays, after onboarding. The max hours per week is up to 25. Approximately 75% or more of scheduled hours must occur during regular business hours, Monday – Friday, 9am-5pm. Fridays will typically include Client Care Coordination coverage.
