The Project Administrator plays a key role in supporting the project management team by ensuring that projects are completed on time, within scope, and within budget. This position involves organizing project-related activities, maintaining documentation, assisting with communication, and handling administrative tasks to keep the project running smoothly.
Key Responsibilities:
1. Project Coordination:
- Assist with the planning and execution of projects from start to finish.
- Coordinate schedules, meetings, and project activities to ensure project deadlines are met.
- Maintain a comprehensive project plan, tracking key milestones and deadlines.
2. Documentation Management:
- Prepare and maintain project documentation, including project charters, schedules, meeting minutes, status reports, and other related materials.
- Ensure that all project files and records are up to date and stored in an organized manner.
3. Communication Support:
- Act as a liaison between project managers, team members, clients, and stakeholders.
- Assist in organizing project meetings, including scheduling, preparing agendas, and distributing meeting minutes.
- Communicate project updates, changes, and risks to relevant parties.
4. Resource Coordination:
- Help manage project resources, including personnel, equipment, and materials, ensuring they are allocated effectively.
- Assist in tracking and reporting on resource usage and project progress.
5. Budget and Invoice Tracking:
- Assist in monitoring project budgets and ensuring project expenses stay within the approved limits.
- Prepare and track invoices and payments, ensuring they are processed in a timely manner.
6. Risk Management and Issue Resolution:
- Help identify potential risks or issues within the project and report them to the project manager.
- Support in tracking and resolving project issues or roadblocks, ensuring minimal disruption to the timeline.
7. Quality Control:
- Monitor the quality of project deliverables and ensure they meet the required standards.
- Assist in conducting project reviews to ensure compliance with project specifications and quality expectations.
8. Project Reporting:
- Prepare regular progress reports on project status for internal teams and clients.
- Ensure project documentation is up to date for future reference and audits.
Qualifications and Skills:
- Education: A bachelor’s degree in business administration, project management, or a related field is typically preferred.
- Experience: Previous experience in an administrative role or project coordination position is a plus.
- Skills:
- Strong organizational skills with the ability to manage multiple tasks and projects.
- Excellent written and verbal communication skills.
- Proficiency in project management software (e.g., MS Project, Asana, Trello) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- Detail-oriented with strong problem-solving abilities
