Position:
Our Project Administrator/Estimator is responsible for supporting our luxury residential construction projects from pre-construction through completion. This hybrid role combines estimating, project coordination, and administrative support, serving as a key link between clients, architects, subcontractors, vendors, and internal teams. The ideal candidate will assist with preparing project estimates and proposals, coordinating documentation and schedules, managing change orders and invoicing, and helping ensure projects are delivered efficiently and accurately.

Primary Responsibilities:
- Review construction drawings, specifications, and project documents to support accurate project estimating and planning.
- Develop scopes of work, solicit pricing from subcontractors and vendors, and prepare detailed estimates and proposals.
- Collaborate with project teams to identify value engineering opportunities and maintain accurate project budgets.
- Support project setup and pre-construction planning, including scheduling, pricing updates, and coordination with field operations.
- Coordinate permits, inspections, and project documentation to help ensure projects remain on schedule and compliant with local requirements.
- Manage material and finish selections, track approvals, and maintain organized project records.
- Maintain project information within Buildertrend, including schedules, change orders, RFIs, selections, and client communications.
- Monitor project budgets, allowances, and costs, identifying potential variances and communicating impacts to the project team.
- Oversee the change order process, including pricing, documentation, approvals, and client communication.
- Review and process vendor and subcontractor invoices, ensuring alignment with contracts, allowances, and approved project changes.
- Serve as a primary point of coordination between clients, architects, designers, subcontractors, vendors, and internal team members.
- Participate in project meetings and site visits to support communication, verify project conditions, and stay informed on project progress.
- Assist with project billing, invoicing, and financial tracking throughout the construction lifecycle.
- Coordinate project closeout activities, including the organization and delivery of warranties, manuals, product information, and final project documentation.
Knowledge, Skills, and Abilities:
- Excellent verbal and written communication skills, with the ability to interact professionally with clients, architects, designers, subcontractors, and internal team members.
- Strong organizational, time management, and attention-to-detail skills, with the ability to effectively manage multiple projects and competing priorities.
- Proactive and resourceful problem-solver who can anticipate project needs, take initiative, and work independently in a fast-paced environment.
- Working knowledge of residential construction practices, estimating principles, construction terminology, and project coordination processes.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with Buildertrend or other construction management software is preferred.
- Prior experience in luxury residential construction, custom home building, or working with high-touch clients is strongly preferred.
Experience Requirements:
- High school diploma or equivalent required.
- Minimum of 3 years of experience in a project coordination, estimating, administrative, or client-facing role within the residential construction, interior design, or architectural industry.
- Proven experience supporting complex, multi-phase construction or renovation projects from start to finish.
- Prior experience working with luxury residential projects or UHNW clients strongly preferred.
- Familiarity with reviewing construction documents, tracking product selections, and managing change orders.
