Job Overview
We are seeking a dynamic and detail-oriented Dental Front Office/Treatment Plan Coordinator to join our vibrant dental team. In this vital role, you will serve as the first point of contact for patients, ensuring a welcoming experience while efficiently managing appointment scheduling, patient records, and treatment plans. Duties
- Greet patients warmly upon arrival and manage multi-line phone systems with professionalism and courtesy.
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes using insurance company provider portals.
- Schedule appointments efficiently using dental practice management software such as Open Dental; coordinate with clinical staff to optimize daily schedules.
- Review and update patient medical records, ensuring accuracy and compliance with HIPAA regulations; manage electronic health records (EHR) systems including Open Dental.
- Prepare treatment plans by explaining procedures clearly to patients, reviewing documentation, and assisting with financial arrangements; utilize ADA codes, and dental billing knowledge.
- Process payments, perform dental collections when necessary, and document all financial transactions accurately.
- Maintain organized filing systems for dental charts; ensure confidentiality in accordance with HIPAA standards.
- Assist with intake procedures for new patients and coordinate follow-up appointments to promote ongoing patient care.
- Support office management tasks such as filing, data entry, and managing multi-system documentation review to ensure seamless clinic operations.
Experience
- Prior experience in a dental office or healthcare setting is essential; clinic experience is highly preferred.
- Demonstrated proficiency with EMR/EHR systems such as Open Dental.
- Strong knowledge of dental terminology, ADA codes, insurance PPO and Medicare plans.
- Familiarity with dental practice management software like Open Dental; experience with office management tools is a plus.
- Excellent computer skills including Microsoft Office Suite (Word, Excel) and typing proficiency. Downloading EOBs from insurance portals and saving documents into designated computer files is necessary.
- Exceptional customer service skills combined with phone etiquette expertise for handling patient inquiries professionally.
- Bilingual abilities are highly valued to serve diverse patient populations effectively.
