Administrative Assistant - Position Summary
The Administrative Assistant serves as the primary administrative and front office support professional for Overland Park Christian Church. Reporting directly to the Senior Minister, this position is responsible for helping ensure the efficient daily operation of the church office while creating a welcoming, organized, professional, and hospitable environment for members, guests, volunteers, building partners, and community partners.
As one of the first representatives of Overland Park Christian Church encountered by the public, the Administrative Assistant plays an important role in reflecting the mission and values of the church. This position requires initiative, sound judgment, professionalism, confidentiality, flexibility, and a genuine commitment to serving others with excellence.
The Administrative Assistant is expected to take ownership of the front office by anticipating needs, maintaining organized systems, completing responsibilities with attention to detail, and proactively working on assigned projects whenever routine responsibilities have been completed.

Reporting Relationship
The Administrative Assistant reports directly to the Senior Minister.
The Operations Manager may provide day to day direction and assignments as delegated by the Senior Minister. The Administrative Assistant is expected to work collaboratively with all staff while respecting the established chain of communication.
Work Schedule
Monday through Thursday, 9:00 a.m. to 4:00 p.m.
Friday, 9:00 a.m. to 3:00 p.m.
The Administrative Assistant is expected to arrive on time, prepare the office for daily operations, and secure designated areas of the building at the conclusion of each workday.
Essential Responsibilities
Reception and Hospitality
· Open designated church entrances and prepare the office for daily operations.
· Secure designated entrances and office areas at the close of each workday.
· Welcome members, guests, volunteers, vendors, building partners, and community partners with professionalism and genuine hospitality.
· Serve as the primary point of contact for all visitors entering the church office.
· Answer incoming telephone calls promptly, professionally, and courteously.
· Direct calls to the appropriate staff member or ministry.
· Receive, document, and relay detailed telephone messages including the caller’s name, contact information, date, time, and purpose of the call.
· Notify staff members when scheduled appointments or visitors have arrived according to established office procedures.
· Offer hospitality to guests while they wait for appointments.
· Direct visitors to the appropriate office, meeting room, or destination by providing clear directions, utilizing the building map, or personally escorting guests when appropriate.
· Receive, sort, and distribute incoming mail, packages, and deliveries.
Administrative Support
· Provide administrative support to the Senior Minister, Operations Manager, church staff, and approved ministry leaders.
· Maintain accurate church records, databases, filing systems, and office documents.
· Prepare correspondence, reports, forms, and ministry materials as assigned.
· Prepare and print welcome letters for first time visitors for the Senior Minister’s signature and ensure they are mailed promptly.
· Maintain the church master calendar, adding events only after receiving appropriate approval through the established chain of communication.
· Coordinate calendar information with staff, ministries, and building partners.
· Assist with meetings, projects, and other administrative responsibilities as assigned.
Office Operations
· Maintain a clean, organized, and welcoming front office environment.
· Monitor inventory of office, hospitality, and ministry supplies.
· Prepare requests for approval to purchase necessary office supplies.
· Organize storage areas, office resources, and supply closets.
· Coordinate maintenance requests for office equipment as needed.
· Maintain cleanliness and organization throughout the office and reception areas.
· Demonstrate initiative by identifying opportunities to improve efficiency, organization, and hospitality.
Communication Support
When requested by the Senior Minister or during the absence of the Operations Manager, the Administrative Assistant may assist with communication responsibilities, including but not limited to:
· Preparing the weekly Sunday bulletin.
· Preparing and distributing prayer request communications.
· Assisting with church wide communications and publications.
· Supporting additional communication projects as assigned.
Initiative and Project Management
The Administrative Assistant is expected to demonstrate initiative throughout the workday. When routine responsibilities have been completed, the Administrative Assistant should continue working from an approved project list or proactively identify organizational, hospitality, filing, inventory, or administrative needs that contribute to the effective operation of the church office. Productive work time should consistently be devoted to supporting the daily operations and ministries of Overland Park Christian Church.

· Support staff, building partners, members, and guests by directing inquiries to the appropriate person, communicating necessary information, and ensuring consistent follow-through via email, text, or phone.
Professional Appearance
Because the Administrative Assistant serves as one of the primary representatives of Overland Park Christian Church, professional appearance is an important part of the position. Employees are expected to maintain good personal hygiene and wear clean, neat, business casual attire that reflects professionalism and is appropriate for a ministry environment.
Productive Use of Work Time
Scheduled work hours are to be devoted to assigned responsibilities and approved ministry related projects. Personal phone use, social media, streaming services, web browsing, or other non-work related activities should be limited to scheduled breaks and lunch periods except in the event of an emergency.
Attendance and Time Off
Dependable attendance is an essential function of this position.
Requests for planned time off exceeding one business day must be submitted to the Senior Minister no fewer than two weeks in advance and are subject to approval based upon ministry and operational needs.
When requesting extended time away, the Administrative Assistant should provide recommendations for volunteer or temporary coverage to assist in maintaining essential office functions during the absence. Final decisions regarding coverage remain with the Senior Minister. Unexpected absences should be communicated to the Senior Minister as soon as reasonably possible.
Documentation will be required for absences due to illness, injury, or other medical circumstances, particularly when the absence extends beyond one workday or when requested by the Senior Minister.
Introductory Employment Period
The Administrative Assistant position includes a ninety-day introductory employment period designed to provide both the employee and Overland Park Christian Church an opportunity to determine whether the position is a mutually beneficial fit.
The first thirty days serve as an orientation and initial evaluation period. During this time, either the employee or the church may conclude the employment relationship without advance notice if it is determined that the position is not an appropriate fit.
Upon successful completion of the first thirty days, the employee will continue through the remainder of the ninety day introductory period. Performance, communication, dependability, initiative, professionalism, and overall suitability for the position will continue to be evaluated.
While employment remains at will under applicable Kansas law, Overland Park Christian Church strives to treat employees with fairness, dignity, and respect. Whenever circumstances reasonably permit, the church intends to provide notice if it determines that employment should conclude during the remainder of the introductory period. Nothing in this provision alters the church’s right to terminate employment immediately when circumstances warrant such action.
Qualifications
Applicants for this position should possess the foundational education, skills, and professional abilities necessary to successfully fulfill the responsibilities of the role.
Preferred qualifications include:
· High school diploma or General Educational Development (GED) certificate required.
· Ability to navigate, update, and create publications for website and other social media outlets.
· Grant writing or a willingness to learn.
· Previous experience in administrative support, office administration, customer service, hospitality, or a related professional environment preferred.
· Working knowledge of Microsoft Office, Google Workspace, email, and general office technology.
· Strong verbal, written, and interpersonal communication skills.
· Excellent organizational skills with the ability to prioritize responsibilities and manage multiple tasks.
· Ability to work independently while collaborating effectively with staff and volunteers.
· Demonstrated professionalism, initiative, dependability, and sound judgment.
· Ability to maintain confidentiality and exercise discretion in handling sensitive information.

Pay: $17,000.00 per year
