Haven New England is seeking a friendly, organized, and dependable Administrative Assistant to join our growing inpatient behavioral health treatment center. As one of the first points of contact for patients, families, vendors, and visitors, you will play a vital role in creating a welcoming environment while ensuring the day-to-day administrative operations of the facility run smoothly.
This position is ideal for someone who enjoys working in a fast-paced healthcare environment, has exceptional organizational skills, and takes pride in providing outstanding customer service. While prior behavioral health experience is not required, candidates with experience in mental health or healthcare settings are strongly encouraged to apply.
Schedule: Monday-Friday, 9:00am - 5:00pm
Responsibilities
- Greet patients, visitors, vendors, and staff in a professional and compassionate manner.
- Answer and direct incoming phone calls while providing exceptional customer service.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain organized electronic and paper filing systems.
- Assist with scheduling meetings, appointments, and conference rooms.
- Prepare, edit, and distribute correspondence, reports, and other administrative documents.
- Order and maintain office and facility supplies.
- Assist with data entry and maintaining accurate records.
- Support various departments with administrative projects and day-to-day operational needs.
- Coordinate with vendors and service providers as needed.
- Ensure reception and common office areas remain clean, organized, and welcoming.
- Maintain confidentiality of patient and company information in accordance with HIPAA regulations.
- Assist leadership with special projects and additional administrative duties as assigned.
QualificationsRequired:
- Minimum of 2 years of experience as an Administrative Assistant, Receptionist, Front Desk Coordinator, or in a similar administrative role.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- High attention to detail and accuracy.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and general computer applications.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional demeanor with exceptional customer service skills.
- Ability to work independently while also collaborating effectively with a team.
Preferred:
- Previous experience working in a healthcare setting.
- Experience in behavioral health, mental health, addiction treatment, or other medical environments.
- Familiarity with electronic medical records (EMR/EHR) systems.
- Knowledge of HIPAA and patient confidentiality standards.

Pay: $23.00 - $25.00 per hour
