General Description:
Performs and assists with accounting and administrative tasks related to accounts payable, payroll, and fiscal records maintenance; and performs related duties as assigned. Work is performed under the direct supervision of the Finance Director.
Duties and Responsibilities:
These duties and responsibilities are not intended to be all-inclusive. The employee may perform other related duties to meet the Town’s ongoing needs.
- Assists in the preparation of payroll, including processing timesheets, data entry in financial software, reviewing payroll prelist and register for accuracy, making corrections and adjustments as needed, and preparing payroll audit files.
- Assists with monthly bank reconciliations.
- Assists with accounts payable by collecting statements and bills, reviewing invoices, verifying charges, coding invoices, preparing invoices for processing, and assisting with the preparation of checks for mailing.
- Assists with maintaining vendor files and filing systems by sorting, indexing, and organizing related documents.
- Collects receipts, and records various revenues; maintains records and files; and prepares bank deposits for submission.
- Assists in the preparation and filing of annual unclaimed property reports with the State and processes property tax refunds as directed by the County.
- Assists with gathering information and supporting annual financial and workers’ compensation audits.
- Performs general clerical duties, including copying, faxing, distributing reports and documents, answering phone calls, and preparing mail.
- Provides general support to the Finance Department, including assistance with special projects and communication with staff, departments, and officials as assigned.
Knowledge, Skills and Abilities:
- Knowledge of general accounting technology, methods, financial computations, and Town practices and procedures regarding payables and payroll.
- General knowledge of standard office procedures, practices, and Town and department policies.
- Knowledge of general office equipment and software, including word processing, Excel, and related software for financial record keeping and reporting.
- Ability to communicate reports and statements verbally or in writing, clearly and concisely, and to understand and follow oral and written directions.
- Ability to plan and organize work and perform mathematical computations with speed and accuracy to meet deadlines despite frequent interruptions.
- Ability to develop and maintain professional and effective relationships with associates, employees, and the general public.
Minimum Qualifications:
- Must possess a valid driver’s license
- Must possess a high school diploma or GED equivalent. An Associate’s or Bachelor’s Degree in accounting, business management, or a related field is desired, but not necessary.
Physical Requirements:
Work is performed primarily in a standard office environment. The position requires the ability to sit for extended periods while performing computer and clerical work, with occasional standing, walking, reaching, stooping, or kneeling. The employee must be able to use a keyboard and view a computer screen for prolonged periods, communicate effectively in person and by telephone, and occasionally lift or move items weighing up to 25 pounds. The position is not subject to adverse environmental conditions.
Pay: $25.00 per hour
