We are seeking an Administrative Assistant to join our team. This position is essential to the daily operation of our firm and the experience every client has with our office. As the first point of contact for many of our clients, you will help set the tone for every interaction through professionalism, responsiveness, and genuine care.
Our office is collaborative, professional, and operates at a consistently high level. Real estate transactions are deadline-driven, our phones ring often, clients are regularly in and out of the office, and no two days are exactly alike. We are looking for someone who genuinely enjoys working with people, thrives in a busy office environment, and takes pride in creating an organized, welcoming, and professional experience for every client who walks through our door or calls our office.
Position Overview
The Administrative Assistant provides support to our attorneys and paralegals. This role requires someone who is confident, attentive, and highly organized. You will often be the first person our clients speak with and the first person they meet when they arrive at our office.
Success in this role requires exceptional customer service, outstanding communication skills, and the ability to manage competing priorities while maintaining accuracy and professionalism. The ideal candidate remains composed during busy days, follows through on commitments, and understands that even small details contribute to an exceptional client experience.
Primary Responsibilities - Client Experience
- Welcome clients and visitors with professionalism and courtesy, creating a positive first impression of the firm.
- Answer a high volume of incoming telephone calls while providing exceptional customer service.
- Schedule appointments and assist with maintaining attorney calendars.
- Serve as the primary administrative point of contact for prospective and existing clients, providing responsive and professional communication.
Office Administration
- Open new client files and accurately enter and maintain client information.
- Scan, organize, and maintain electronic and physical documents.
- Process incoming and outgoing mail and assist with routine office correspondence.
- Order and maintain office supplies and help ensure the office operates efficiently on a daily basis.
Team Support
- Provide administrative support to attorneys and paralegals across a busy residential and commercial real estate practice.
- Assist with file organization and other administrative projects as needed.
- Help maintain organized files and support the efficient progression of client matters from opening through closing.

- Proficiency with Microsoft Outlook, Microsoft Word, and standard office technology.
- Proficiency in E-Closing or Qualia a plus.
Preferred Experience
Preference will be given to candidates with experience in:
- A law firm or other professional office environment.
- A fast-paced administrative or customer-facing position requiring frequent client interaction.
- Residential or commercial real estate, title, lending, or other transaction-based industries.

Compensation & Benefits
- $25.00–$35.00 per hour, based on experience and qualifications.
