Responsibilities
- Manage front desk duties, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems, directing calls accurately and courteously
- Handle data entry tasks using computer skills, including maintaining records and filing systems
- Support office management activities such as calendar management, appointment scheduling, and organizing meetings
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Provide excellent customer service by responding promptly to inquiries via phone or email
- Perform clerical duties such as proofreading documents, managing correspondence, and maintaining filing systems
- Support medical or dental reception functions as needed, including patient check-in and appointment coordination
- Maintain office supplies inventory and coordinate procurement when necessary
- Utilize Google Workspace and Microsoft Office tools to prepare reports, presentations, and correspondence
Skills
- Proven experience with office management, clerical tasks, and administrative support roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs)
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Exceptional phone etiquette with experience handling multi-line phone systems and customer support interactions
- Bilingual abilities are a plus for communicating with diverse clients and team members
- Experience with QuickBooks or bookkeeping software is highly desirable
- Attention to detail for proofreading documents and data entry accuracy
- Strong interpersonal skills for providing outstanding customer service in person or over the phone
- Ability to handle confidential information discreetly and professionally
- Personal assistant experience or medical/dental receptionist background is advantageous
