About the Role
Halco Energy is looking for a polished, detail-oriented Administrative Assistant to support our leadership team. You'll be the organizational backbone behind our executives' schedules, communications, and day-to-day operations — someone who anticipates needs before they're voiced and handles sensitive information with total discretion.
What You'll Do
Administrative & Scheduling Support

Manage calendars, schedule meetings, and coordinate appointments for leadership

Arrange travel plans, itineraries, and accommodations

Prepare, proofread, and format correspondence, reports, and presentations

Maintain organized physical and electronic filing systems
Communication

Serve as the point of contact between leadership, employees, clients, and vendors

Answer and direct calls, emails, and inquiries professionally and promptly

Draft and distribute internal and external communications on behalf of leadership
Meeting & Office Coordination

Prepare agendas, take minutes, and track follow-up on action items

Coordinate logistics for meetings, events, and off-site functions

Order and maintain office supplies and equipment
Confidentiality & Judgment

Handle sensitive company, employee, and client information with the utmost discretion

Maintain confidentiality around financial records, personnel matters, and strategic discussions

Ensure compliance with company data privacy and information security policies
Project Support

Juggle multiple priorities and deadlines across projects and departments

Assist with special projects and research as assigned by leadership

Proactively identify and solve problems before they escalate
What You'll Need

High school diploma required; Associate's or Bachelor's degree preferred

2+ years of experience in an administrative or executive support role

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Excellent written and verbal communication skills

Strong organizational skills and the ability to manage competing priorities

Sound judgment and a proven ability to maintain confidentiality

Sharp attention to detail and problem-solving skills

A professional, positive demeanor
Nice to Have

Work Environment
