Summary
The Client Care Coordinator provides administrative support to ensure client records are complete, organized, and compliant with company standards, payer requirements (if applicable), and regulatory guidelines. This role focuses on maintaining accurate client and job files, supporting internal documentation workflows, assisting with hiring and onboarding coordination, and helping manage communication between office departments to ensure smooth daily operations.

As we continue to grow and refine departmental needs, the duties, responsibilities, workflows, and expectations of this role may evolve over time. We are actively working on defining and improving the structure of this position, and flexibility, adaptability, and willingness to assist in various operational areas will be important for success in this role.
Key Responsibilities
- Coordinating communication between office staff and field teams to ensure workflow efficiency
- Following up on missing or incomplete documentation as needed
- Assisting with scheduling coordination and general administrative tracking of active jobs
- Assisting with HHA applicant screening and onboarding coordination, including reviewing applications, supporting interview scheduling, and helping ensure required documentation is completed
- Supporting client coverage coordination
- Supporting general office operations as needed
- Review client documentation for completeness, accuracy, and organization
Care Coordination Support
- Assist with preparation and organization of Plans of Care
- Track physician visits with medical offices
- Coordinate Long-Term Care (LTC) administrative follow-ups
- Support intake and onboarding for new clients as needed
Client & Family Administrative Support
- Assist clients and families with administrative documentation, including:
- Guardian Advocate forms
- Power of Attorney documentation
Quality Assurance & Compliance Support
- Assist with annual client documentation reviews and file audits
- Support preparation for surveys and AHCA readiness activities
- Participate in internal administrative audits and quality checks
Operations & Administrative Support
- Manage incoming leads and client administrative follow-ups
- Provide back-up coverage for office phones and front office needs
- Communicate professionally with medical offices and external partners
Applicant Screening:
- Screen potential applicants for minimal requirements/credentialing, who may apply in person or over the phone.
- Verify minimum requirements from potential applicants and set them ready to meet clients.
Client coverage
- Assist with client coverage and scheduling
- Back up referral coordinator
REQUIREMENTS:
- Associate degree or 5+ years of office experience; additional education or certifications in compliance or digital records management is a plus.
- Proven experience in an administrative, scheduling, or office management role.
- Strong customer service and interpersonal skills.
- Excellent communication and organizational abilities.
- Proficiency in using office software.
- Familiarity with healthcare industry practices and regulations is advantageous.
- Ability to work effectively in a fast-paced environment.
- Attention to detail and the ability to multitask.
- Knowledge of IC recruiting is a plus.
- Reliable, punctual and commitment to maintaining a professional office atmosphere.
- Willingness to assist with various office tasks as needed.
