Job Summary
We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! Responsibilities
- Manage daily office operations, including overseeing supplies, equipment, and facility maintenance to ensure a productive work environment
- Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems with professionalism, and directing calls promptly
- Coordinate calendar management and scheduling for team meetings, appointments, and client engagements using productivity software and Google Workspace tools
- Handle data entry tasks with accuracy using spreadsheets and word processing applications; maintain organized filing systems both digitally and physically
- Provide exceptional customer service by addressing client inquiries via phone or email, supporting client communication efforts, and ensuring positive interactions
- Assist with bookkeeping activities such as invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar accounting software
- Support administrative projects including proofreading documents, managing correspondence, and performing clerical tasks like filing and document organization
- Collaborate with team members to streamline office procedures, improve productivity workflows, and ensure timely completion of administrative duties
Requirements
- Proven experience in office management or administrative roles with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and familiarity with productivity software tools
- Excellent computer literacy including data entry skills, typing speed, proofreading abilities, and technical proficiency in office equipment
- Experience with multi-line phone systems, phone etiquette, and customer support to handle diverse communication channels effectively
- Previous experience in clerical work such as filing, data entry, calendar management, or front desk responsibilities is preferred
- Knowledge of QuickBooks for bookkeeping tasks is a plus; familiarity with medical or dental receptionist duties is advantageous but not required
- Strong time management skills to prioritize tasks efficiently in a fast-paced environment
- Personal assistant experience or medical/dental receptionist background will be considered beneficial
