About the Role
We are looking for a detail-oriented and responsible Bilingual Retail Operations Assistant / EDI Order Coordinator to support our growing retail channel business with major U.S. retailers, including Best Buy, Costco, Target, Walmart, and other online and offline retail partners.
This role involves EDI order processing, shipment coordination, Excel data organization, warehouse communication, return tracking, payment reconciliation, and retail channel support. The ideal candidate should be highly organized, detail-oriented, comfortable working with data, and able to communicate in both English and Mandarin Chinese.
Responsibilities
- Receive and process retail orders through EDI systems such as SPS Commerce, Enable Trading, CommerceHub, and similar platforms.
- Download order data and organize CSV files into clear, readable, and well-structured Excel files.
- Review order changes, including quantity changes, ship date changes, or other updates, and identify whether further action or approval is needed.
- Summarize order details and communicate with factories and internal teams to ensure production, inventory, and fulfillment are aligned.
- Coordinate with the warehouse based on ship dates and required fulfillment timelines to ensure orders are shipped on time.
- Prepare shipment documents, BOLs, routing information, and related paperwork based on carrier assignments from retail platforms.
- Communicate with carriers and warehouse teams to schedule pickups and resolve shipment issues such as delays, driver information mismatches, rescheduling, or pickup exceptions.
- Submit ASN after shipments are completed and submit invoices through the appropriate retail or EDI systems.
- Track payment status and assist with payment reconciliation.
- Record return label information received by the warehouse and match return records with retailer deductions or chargebacks.
- Analyze deduction details and assist with disputes for incorrect or unreasonable chargebacks.
- Maintain product information on retailer platforms, including product images, descriptions, content updates, and review-related support.
- Support retail channel operations and sales-related tasks to help improve account performance and sales results.
- Assist with basic warehouse support when needed, including label printing, inventory organization, parts tracking, customer reception, and product introduction.
- Complete other tasks assigned by management.
Qualifications
- Strong Excel skills, including data sorting, filtering, formulas, and basic data analysis. Experience with VLOOKUP/XLOOKUP, pivot tables, and reconciliation work is preferred.
- Experience with EDI systems such as SPS Commerce, Enable Trading, CommerceHub, or similar platforms is preferred. Candidates with strong learning ability will also be considered.
- Strong attention to detail and sensitivity to numbers, dates, quantities, and order information.
- Good communication and coordination skills, with the ability to work with warehouses, carriers, factories, vendors, and internal teams.
- Ability to handle multiple tasks in a fast-paced environment and follow up until issues are fully resolved.
- Strong sense of responsibility, accuracy, and ownership.
- Good written and verbal English communication skills.
- Mandarin Chinese communication ability is strongly preferred, as this role requires regular communication with China-based teams and factories.
- Experience in e-commerce, retail operations, supply chain, logistics, order management, or marketplace operations is preferred.
- Must be legally authorized to work in the United States. Employment eligibility will be verified after hire.
