Surgery Scheduling Assistant – Orthopedic Practice

Position Summary
We are seeking a highly organized, detail-oriented, and compassionate Surgery Scheduling Assistant to join our orthopedic practice. This position is responsible for coordinating surgical cases and ensuring patients have a smooth experience from the decision to proceed with surgery through the day of their procedure.
The ideal candidate is comfortable working in a fast-paced medical office, communicating with patients, physicians, hospitals, surgery centers, and insurance companies, and managing multiple priorities while maintaining accuracy and professionalism.
Responsibilities
- Schedule orthopedic surgeries and coordinate surgical dates with patients, surgeons, hospitals, and surgery centers
- Obtain and verify insurance information and assist with insurance authorization and pre-certification
- Coordinate pre-operative appointments, testing, medical clearances, and required documentation
- Communicate pre-operative instructions and expectations to patients
- Confirm surgical details with patients and surgical facilities
- Prepare and maintain accurate surgical schedules
- Obtain necessary medical records, imaging, laboratory results, and clearance documentation
- Communicate with physician offices, hospitals, surgery centers, anesthesia departments, and other healthcare providers
- Monitor authorization and clearance status to ensure cases are ready for surgery
- Reschedule surgeries when necessary and communicate changes promptly
- Answer patient questions regarding scheduling and pre-operative requirements
- Maintain patient confidentiality and comply with HIPAA regulations
- Assist the surgical team and clinical staff with administrative duties as needed
- Provide exceptional customer service throughout the surgical scheduling process
Qualifications
- Previous experience in a medical office, preferably orthopedic or surgical scheduling
- Knowledge of insurance verification, authorizations, and pre-certification preferred
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Ability to multitask and prioritize in a busy environment
- Strong attention to detail and accuracy
- Professional, friendly, and compassionate demeanor
- Proficiency with electronic medical records and Microsoft Office
- Ability to work independently while functioning effectively as part of a team
Preferred Experience
- Orthopedic practice experience
- Surgical scheduling experience
- Experience with prior authorizations
- Knowledge of CPT/ICD-10 codes
- Experience working with hospitals and ambulatory surgery centers
- Familiarity with common orthopedic procedures

Pay: $17.00 - $19.00 per hour
