Overview:
MEDICAL CLERK - DEPARTMENT OF ORTHOPEDICS SURGERY (BAMC-2026-25982):
Bowhead seeks a Medical Clerk to support the Department of Orthopedics Surgery (DORS) at the Brooke Army Medical Center (BAMC) in San Antonio, TX. The Medical Clerks are tasked with managing patient’s health records and history, patient information, processing discharge paperwork and various administrative duties within BAMC at Fort Sam Houston, TX.
Responsibilities:
Essential functions will include:
- Greeting and receiving patients in various clinics depending on the department assigned.

Greet and receive patients in the clinic. In accordance with the National Patient Safety Guidelines, verify patient eligibility in Defense Enrollment Eligibility Reporting System (DEERS) by using two forms of identification. Verify appointments and enter patient data into MHS Genesis. Ensure military orders and letters of authorization have appropriate dates and signatures authorizing treatment in accordance with clinical policies. Manage appointment line to facilitate patient reception and appointment processing. Bring any issues regarding eligibility to the attention of clinic management for a decision.

Perform administrative procedures and process paperwork regarding insurance, third-party liability, or other designated documentation regarding insurance coverage.

Use knowledge of medical terminology, clinical standard operating procedures, and various appointment templates to book and schedule patient appointments within the clinic and at other hospital clinics. Select, complete, and route requests for patient activities and/or procedures. Use Medical Protection System (MEDPROS) to input medical and vision screening information for active-duty Soldiers.

Use MHS Genesis to perform appointment scheduling, appointment cancellations, scheduling follow-up appointments, end-of-day processing, enrollment status verification, and updating of selected file data. Conduct end-of-day closure in MHS Genesis, ensuring disposition of the day’s clinic appointments and/or resolving discrepancies to ensure correct workload accountability.

Call patients to change, cancel, and remind them of upcoming appointments. Reschedule patient appointments if the provider is going to TDY, deployed, or otherwise unable to attend.

Assist patients requesting unscheduled examinations by obtaining information regarding the nature of the medical problem and making appropriate disposition in accordance with clinic policy guidelines.

Perform office automation functions. Operate a personal computer utilizing numerous software programs to prepare a variety of narrative and tabular materials and to compile patient data for workload recording and reconciliation.

Instruct all new patients on the completion of data intake forms and assist them as necessary.

Compile data on patients treated at the clinic for workload recording and reconciliation.

Request medical records for scheduled patient appointments, prepare temporary records if the record is not available, and retrieve inpatient medical records occasionally for selected patient appointments.

Prepare required forms for scheduled patient appointments. Insert forms in the corresponding patient medical record and place the record in suspense according to the scheduled appointment time.

File examinations and test results in the patient convenience file. Maintain patient charts as required, including filing applicable forms.

Assist with assembling, preparing, addressing, and mailing out notifications to patients regarding laboratory and/or radiology test results.

Assist in monthly performance improvement audits and time analysis by pulling patient notes from medical records for physicians to conduct peer review audits of the medical record documentation based on specified criteria as directed by clinic management.

Conduct clerical screening for verification of required administrative documentation. Prepare and use spreadsheets for auditing, tracking, and generating various outcome reports.

Use MHS Genesis to establish clinic appointment schedules, create provider appointment templates, and monitor and change appointment type profiles per provider.

Perform other duties as assigned dependent upon the department assigned.
Qualifications:
- A high school diploma or equivalent is required at a minimum in addition to at least two (2+) years’ experience in a hospital administrative environment.
- Administrative experience in a government and/or hospital setting highly desired.

Intermediate level computer/PC knowledge required including Microsoft Excel, Outlook, Word and PowerPoint.

Must be able to work in a fast-paced, deadline driven office environment where privacy and confidentiality is critical while working alone and in teams to ensure mission success.

Must be able to pass a pre-employment physical and provide proof of TDAP and Influenza vaccinations prior to employment and update as required.
This is a SCA position and the targeted hourly rate is $25.44 hourly.

SECURITY CLEARANCE REQUIREMENTS: There are currently no Security clearance requirements however qualified candidates must be able to successfully obtain a NACI check to gain access to the facility. Bowhead retains the right to change these requirements due to contractual requirements. Due to the location of this work, US Citizenship is a requirement for this location.
