About the Opportunity
We’re looking for a highly organized, detail‑driven Assistant Property Manager to support operations across a scattered‑site residential portfolio. This role is critical to the success of the portfolio and works closely with the Regional Property Manager, Leasing team, and Maintenance team to ensure smooth daily operations, accurate system management, timely resident communication, and strong compliance.
This position is ideal for someone who thrives in a fast‑paced environment, enjoys process‑driven work, and wants hands‑on exposure to leasing operations, renewals, collections, inspections, and maintenance coordination—with a clear path for growth into Property Manager roles.
What You’ll Support
Portfolio Operations
- Support daily operations across a residential scattered‑site portfolio
- Assist with move‑ins, move‑outs, renewals, inspections, and compliance
- Ensure resident records, documents, and notes are accurately maintained in Entrata
- Support township inspections including Fire/Safety, Backflow, U&O, insurance, and annual inspections
- Assist with property onboarding, lease audits, and document organization
Team & Administrative Support
- Support the Regional Property Manager with operational tracking and follow‑up
- Coordinate scheduling for Leasing Agents, inspections, and vendor access
- Maintain property calendars, appointments, and internal deadlines
- Assist with welcome packets for new residents and new property acquisitions
- Maintain key organization, lockbox tracking, and access instructions
Leasing & Marketing Support
- Answer leasing calls and accurately log leads in Entrata
- Assist with application processing and lease preparation
- Ensure unit availability and resident data are accurate
- Support outreach and marketing initiatives with follow‑up and reporting
- Schedule showings and leasing appointments
Maintenance & Turnovers
- Enter, schedule, follow up on, and close work orders daily in Entrata
- Communicate with residents regarding maintenance access and scheduling
- Coordinate with Maintenance, vendors, and contractors on unit turns
- Track make‑ready boards and update progress after walkthroughs
- Assist with move‑in and move‑out inspections and documentation
Collections, Renewals & Compliance
- Monitor delinquency reports and follow up with residents via phone and email
- Generate Notices to Quit and balance reminders through Entrata
- Assist with eviction packet preparation and coordination with attorneys
- Track lease renewals following 90/75/60/45/30/15‑day protocols
- Countersign renewals and ensure leases are generated and issued correctly
- Support security deposit tracking, refunds, and financial move‑outs
Resident Communication
- Respond to resident calls, emails, texts, and concerns by the next business day
- Log all communication and notes accurately in Entrata
- Assist residents with rental assistance applications when applicable
- Escalate complex issues to the Property Manager as needed
What We’re Looking For
- 2 years of residential property management experience
- Strong attention to detail and process adherence
- Excellent written and verbal communication skills
- Extensive Entrata experience
- Familiar with delinquency and court
- Knowledge of Fair Housing and basic landlord‑tenant regulations
- Ability to manage multiple priorities in a deadline‑driven environment
Compensation & Benefits
