POSITION SUMMARY
Join our team in a full-time, four-day work week leadership role! The Business Operations Director is responsible for overseeing the administrative, financial, and human resources, compliance, technology, facilities, and operational functions of Doors of Hope. This position ensures that organizational systems, processes, and resources effectively support the mission of empowering women to break the cycle of addiction, homelessness, and incarceration.
Working closely with the Executive Director and leadership team, the Business Operations Director provides strategic and day-to-day operational leadership, develops efficient systems, supports organizational growth, ensures regulatory compliance, and strengthens organizational sustainability and effectiveness.
Supervises: Human Resources Coordinator, administrative support personnel as assigned, and contractors, vendors, and operational service providers
Reports to: Executive Director
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Financial Management
- Assist the Executive Director with annual budget development and monitoring.
- Monitor organizational expenditures and budget performance.
- Analyze monthly financial statements and budget-to-actual reports and share insights, projections, and recommendations.
- Serve as an organizational liaison with vendors and non-clinical contractors.
- Coordinate with bookkeeping, PEO and payroll, accounting and managed IT providers.
- Support grant budgeting, financial reporting, and compliance.
- Assist with annual audits, financial reviews, and tax filings.
- Develop financial dashboards and key performance indicators (KPIs).
- Identify, recommend, and implement opportunities to improve financial efficiency and organizational sustainability.
- Review organizational purchasing and expense approval processes.
Human Resources Leadership
- Provide supervision, guidance, and support to the Human Resources Coordinator and Administrative Assistant.
- Ensure effective recruitment, onboarding, retention, and offboarding processes are maintained.
- Oversee employee relations, personnel policies, and compliance practices.
- Review and approve HR systems, procedures, and documentation.
- Ensure compliance with federal, state, and local employment regulations.
- Support leadership in performance management and staff development initiatives.
- Promote a healthy organizational culture that aligns with Doors of Hope's mission and values.
- Partner with department leaders to address workforce planning and staffing needs.
Organizational Operations
- Develop, implement, and improve organizational systems and workflows.
- Establish operational policies, procedures, and internal controls.
- Lead process improvement initiatives that increase efficiency, accountability, and service quality.
- Coordinate organizational technology systems, software platforms, and vendor relationships.
- Monitor operational KPIs and organizational performance metrics.
- Assist in strategic planning implementation and organizational goal tracking.
- Ensure effective communication and collaboration across departments.
Compliance, Quality, and Risk Management
- Ensure compliance with nonprofit regulations and organizational policies.
- Monitor compliance with licensing, accreditation, contractual, and regulatory requirements.
- Support organizational readiness for accreditation reviews and quality assessments.
- Oversee quality assurance and risk management activities.
- Maintain organizational insurance policies and renewal schedules.
- Coordinate incident reporting, corrective action planning, and risk mitigation efforts.
- Ensure compliance with grant requirements, credentialing standards, and applicable healthcare regulations.
Facilities and Asset Management
- Oversee maintenance and operation of all facilities.
- Manage vendor contracts and service agreements.
- Coordinate facility improvements and capital projects.
- Monitor vehicle maintenance, inventories, equipment, and organizational assets.
- Ensure safe, secure, and compliant work environments.
- Oversee facility safety inspections, maintenance schedules, and emergency preparedness.
Information Technology and Data Systems
- Oversee organizational technology infrastructure.
- Manage software subscriptions and technology vendors.
- Coordinate system implementation and optimization efforts.
- Support data collection, reporting, and dashboard development.
- Ensure cybersecurity and data protection practices are followed.
- Collaborate with the BI Systems Developer to establish and maintain meaningful organizational reporting and KPI systems.
Leadership and Strategic Support
- Serve as a member of the leadership team.
- Act on behalf of the Executive Director in operational matters as delegated.
- Participate in strategic planning and organizational development initiatives.
- Prepare operational reports for leadership and the Board of Directors.
- Support cross-departmental collaboration and communication.
- Lead special projects as assigned.
- Promote a culture of accountability, excellence, innovation, and mission alignment.
- Foster collaboration, transparency, and continuous improvement throughout the organization.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Required
- Bachelor's degree in Business Administration, Nonprofit Management, Public Administration, Human Resources, Accounting, or a related field.
- Minimum of five years of progressively responsible management experience.
- Experience supervising staff and leading organizational operations.
- Experience managing budgets, systems, compliance activities, and organizational processes.
- Strong project management and organizational skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite, SharePoint, Teams, and cloud-based systems.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
Preferred
- Experience in nonprofit leadership, behavioral health, healthcare, or human services organizations.
- Knowledge of grant-funded programs and nonprofit financial management.
- Experience with accreditation processes, quality assurance systems, DMHSAS licensure, healthcare compliance, or similar regulatory environments.
- Experience with OneStep EHR, Relias, ADP PEO, ApprovalMax, or comparable platforms.
- SHRM, PMP, nonprofit management, or related professional certification.
- Experience leading organizational growth and change initiatives.
